The Opportunity

We are hiring two (2)



Clinical Faculty Administrative Coordinators to join the School of Medicine team! The Coordinators provide high-level administrative and operational support to the Clinical & Faculty Affairs unit in the School of Medicine. Reporting to the Director, Clinical Faculty Affairs and supporting the Clinical Faculty Affairs leadership team, the Coordinators assist in the productive planning and execution of all clinical faculty recruitment, administrative functions, operational activities, and clinical faculty engagement.

As trusted members of the administrative team, Coordinators research, organize and manage confidential and sensitive information with a high degree of discretion.

Role Responsibilities

- Executive &

• Departmental Support: Assists the Director Clinical Faculty Affairs with daily operations, policy monitoring, administrative issue resolution, and committee representation.
- Faculty Lifecycle Management: Coordinates recruitment, onboarding, appointments, clinical faculty careers, and performance reviews.
- Governance &

- Committee Operations: Manages logistics, elections, documentation, and compliance for clinical faculty search, promotion, operational and related committees.
- Records &
- Systems Administration: Maintains confidential electronic and physical records systems in accordance with university policies and agreements.
- Stakeholder &
- Advisory Liaison: Serves as the primary contact for internal and external enquiries, advising faculty and staff on university procedures related to Clinical Faculty Affairs.

Qualifications

- Completion of a post-secondary degree preferably in a business-related discipline or equivalent education/discipline is required.
- A minimum of three years of relevant work experience within a university environment.
- Experience in a support function as part of a senior management team, involving high-level problem-solving skills.
- Previous experience in clinical faculty affairs, faculty affairs, or recruitment processes would be considered an asset.
- Experience with Faculty Management Systems/Human Resources Information systems for creating job postings, managing hiring processes, and calculating salaries would be

considered an asset.
- Knowledge of academic and administrative processes and procedures.
- Experience in financial and budget management, including preparing and monitoring budgets, reconciling accounts, processing invoices, and reporting expenditures.




- Ability to handle confidential and sensitive information with discretion.
