Who we are The BC Aboriginal Child Care Society (BCACCS) is a Centre of Excellence for Indigenous early learning and child care (IELCC). BCACCS undertakes research, develops training, and resources, and provides services and leadership to support Indigenous communities throughout BC to create high quality, culturally respectful, spiritually enriching community child care services that are based in the child’s culture, language, and history.
The work this role carries
BCACCS is currently seeking a qualified candidate for the position of IELCC Database Administrator. Reporting to the IELCC Co-Manager, this role supports the IELCC team in stewarding and maintaining a robust, accurate, and culturally grounded database of funding applications, project information, and reporting data for the Indigenous Early Learning and Child Care (IELCC) Transformation Initiative.
The IELCC Database Administrator plays an important role in ensuring the integrity, security, and accessibility of funding information while upholding the First Nations Principles of OCAP® (Ownership, Control, Access, and Possession). Through strong systems thinking and attention to detail, this role supports funding processes, reporting requirements, and program accountability while ensuring information is managed respectfully and responsibly.
Acting as a bridge between program delivery, funding administration, and organizational operations, this role collaborates closely with the IELCC team, Finance, and BCACCS staff to improve processes, strengthen reporting, and support Indigenous communities and programs throughout British Columbia.
Key ContributionDatabase Stewardship & Administration· Develop, implement, maintain, and continuously improve the online IELCC funding database.
· Maintain accurate digital and physical filing systems and ensure consistency across all records.
· Perform regular data entry, reporting, quality assurance reviews, and database backups.
· Ensure data integrity, security, and confidentiality in accordance with OCAP® principles.
Reporting & Analytics· Develop reporting templates and complete ad-hoc data analysis and reporting requests.
· Prepare funding, payment,
and program metrics reports for the IELCC team and leadership.
· Monitor timelines, deliverables, and funding requirements to support program accountability.
· Support annual audits and financial reporting activities in collaboration with Finance.
Team Support & Capacity Building· Provide database support and troubleshooting assistance to team members.
· Develop dashboards, forms, documentation, and process guides for internal users.
· Train staff on database functionality and project-specific processes.
· Prepare information and data for meetings, presentations, and engagement activities.
Continuous Improvement & Collaboration· Identify process gaps and recommend improvements to systems and workflows.
· Support policy development, template creation, and process standardization.
· Collaborate across BCACCS teams to ensure integrated service delivery.
· Participate in conferences, information-sharing events, and professional development opportunities.
What you bring: Experience, Knowledge, and Ways of Being· 3–5 years of experience in database administration, grant management systems, reporting, or program administration.
· Post-secondary education in information systems, business administration, public administration, data analytics, or a related field, or an equivalent combination of education and experience.
· Experience working with funding programs, grants administration, or community-based initiatives.
· Strong proficiency with databases, Microsoft Office Suite, and reporting tools.
· Knowledge of privacy legislation, data governance, and information management best practices.
· Understanding of Indigenous data sovereignty and commitment to OCAP® principles.
· Exceptional attention to detail, organization,
and problem-solving abilities.
· Strong written and verbal communication skills and an ability to explain technical information to non-technical audiences.
· Experience working with Indigenous organizations or communities is considered an asset.

How the role is practiced day-to-day
- Primarily remote (from a secure and private home office in BC) and travel-based, with the ability to attend occasional meetings or gatherings at the West Vancouver office as needed.
- Follows standard working hours of Monday to Friday, 9:00 a.m. to 5:00 p.m., with occasional extended hours.
- Holds a valid driver’s license and reliable vehicle, with the ability to travel as needed.
- Carries out the role in alignment with BCACCS’ Code of Conduct, and is willing to complete a criminal record check to support a safe and trusted workplace.
