The Role
As a key member of the operations team, the Associate supports client servicing by managing account applications, trade requests, and documentation workflows. You'll work daily with Investor Specialists and external institutions to resolve what automation can't, and you'll help design the processes that let the team scale without losing accuracy or care. This role sits at the point where client trust is won or lost in the details: an account transfer that moves cleanly, an estate settled with care, a discrepancy caught before it becomes a client's problem.
As routine processing shifts to AI-assisted workflows, this role owns the exceptions, the relationships, and the judgment calls that keep the operation trustworthy.
Responsibilities: What You Will Do/ What You Will Own
- Assist with handling various forms and inquiries from Investor Specialists related to new client account applications, trade requests and other documents that need to be processes
- Manage the process of transferring accounts to/from other institutions to ensure a smooth transition for clients
- Work closely with the Investor Specialist team to manage the settlement of estate accounts,
ensuring all required documentation is collected and the process is completed in a timely and efficient manner
- Monitor and process daily cash movements into the funds, ensuring accuracy and reconciliation of any discrepancies
- Monitor and track daily valuations, ensuring they are accurate and reconciling any differences
- Communicate and collaborate with Investor Specialists on any unresolved issues to ensure efficient resolution
- Liaise with external stakeholders or partners to address and resolve unexpected problems that may arise
- Contribute to various projects by providing support and insight with the aim to optimize service delivery
- Be passionate about client service – willing to go the extra mile for the client.
- Investigate opportunities to reconcile routine cash movements and flags exceptions automatically (ie. Automation of first-pass validation on daily fund valuations, pre-fills of standard account application and transfer forms, tracking documentation status, generates routine status updates for Investor Specialists
Qualifications: What You Will Bring
- 2-4 years of proven professional experience in client servicing or operations roles.
- Excellent client service and verbal and written communication skills.
- Outstanding analytical skills with a problem-solving mindset.
- Someone who can communicate complex ideas in a simple and easy-to-understand way.
- You must be able to prioritize and execute multiple tasks in a fast-paced environment, providing quick, friendly, and accurate service.
- Experience in the wealth management or financial services industry. Good understanding of wealth management operations and working cross-functionally with other departments.
- Experience with SQL and Excel for data analysis
- Exposure to process improvement or automation projects
- Comfort working alongside AI-assisted reconciliation or workflow tools
- You thrive in a fast-paced and deadline-driven environment.
- Completion of the Canadian Securities Course (CSC) is an asset.
