About You
- Strong interpersonal and customer service skilled
- Previous reception experience, preferably in a professional services firm
- Ninja-like organizational skills
- Ability to multi-task and re-prioritize like a pro
- High levels of accountability and ownership with little oversight
- Proficient with Microsoft Office (Outlook, Word & Excel)
- Always eager & quick to learn new technologies
- Not afraid of change and working in a fast-paced environment
About the Gig As a key member of the team, you will be responsible for ensuring positive first impressions for our clients and contributing to the smooth operations of our reception area. Responsibilities will include, but are not limited to:
- Be the welcoming first impression: Answer incoming calls and greet clients warmly and professionally, making sure everyone gets connected to the right person quickly and feels well taken care of from the moment they reach out.
- Keep the mail moving: Sort and manage all incoming and outgoing mail and faxes, so nothing gets lost in the shuffle and everything lands where it needs to be.
- Lend a hand with correspondence: Pitch in on letters,
emails, and other written communication as needed, helping the team stay on top of what goes out the door.
- Keep documents in order: Take care of document audits, reviews, publishing, and linking — because organized, accessible files keep everyone working smoothly.
- Keep the team well-fed & caffeinated: Take the lead on ordering and organizing meals, snacks, coffee, and all the little food-related details for tax season, meetings, pizza lunches, and team events.
- Be the behind-the-scenes host: Coordinate group lunches, keep the snack/coffee station stocked, and help tidy up afterward — because great meetings are even better with good food and a clean space!
- Special projects as assigned
Position Details
- Location: This role is based out of our Kitchener-Waterloo office, located at 319 Bridgeport Rd E Ste 2, Waterloo, ON.
- Pay Range: $42,000 - $50,000
- Hours: Full-time, with paid overtime required during peak periods
Compensation within the advertised range is based on factors such as experience, qualifications, and professional designations. RLB LLP recognizes that candidates may not fit precisely within a predefined range; therefore, final compensation will reflect the full breadth of skills, experience, and expertise the individual brings to the role.
