We are looking for a Project Coordinator Co-op, Supply Chain to support project coordination, budgeting, reporting, purchase orders, and administrative activities for the Supply Chain Engineering team. This role offers hands-on experience working with project managers, finance, vendors, and cross-functional partners to help deliver key supply chain projects.

What You'll Do:
Financial/Administrative
- Creates Engineering Capital Purchase Orders with a high level of accuracy and attention to detail. Ensures that proper documentation and approvals are included before executing a PO. Responsible for tracking and executing change orders. Verifies Supplier information and prepares New Supplier Requests as necessary. Maintains files summarizing requisitions and purchase orders by location. Responsible for achieving all relevant documents for auditing purposes. Ensure that POs are closed in a timely manner.
- Track capital for SC Network against fiscal year budget. Work closely with finance to ensure proper accounting treatment.
Develop and maintain monthly reporting for stakeholders. Perform month end close responsibilities including updating actual capital spend and submitting journal entries when necessary. Meet with finance & other business partners monthly to review capital rolling plan.
- Reviews each invoice against the purchase order. Obtains approvals for payment from project managers before receiving invoices in Oracle. Ensures timely receipt and submission of invoices to Expense Payable for processing and monitor through payment. Resolves payable issues with vendors and EP. Facilitates the onboarding of new suppliers for the use of Isupplier. Responsible for reporting on outstanding invoices and invoices holds.
- Provides administrative support for the Engineering Department including projects, budgets etc. and other administrative duties as required.
Project Management Support
- Supports Project Managers on bid package development for material handling installations by reviewing bid responses and providing summaries for Management review.
- Act as a key liaison to support project managers by handling administrative tasks, maintaining schedules, communications, scheduling meetings, managing documentation, one pager for business approvals and tracking action items.
- Follow up with vendors on open items, delivery schedules, coordinating onsite meetings with multiple vendors and contractors
- Liaising with PM’s, sourcing, legal, vendors and other teams to support project execution.
- Manage project folders, including project documentation, drawings, engineering records, permits, and other related project documents.
- Participates in special projects as assigned.
About You:
- Minimum one (1) year related experience in project coordination or office administration
- Enrolled in post-secondary education program in Business Management, Engineering or Finance
- Excellent organizational skills with ability to implement and manage details, prioritize, time manage and multi-task with limited supervision and sometimes under time pressure
- Solid problem-solving skills which include the ability to respond to inquiries and effectively resolve issues
- Demonstrated interpersonal abilities to perform effectively in a collaborative environment, where partnering with others and building strong working relationships are critical; building relationships with internal and external partners
- Flexibility and the ability to adapt to changing needs of the business, and changing priorities
- Solid verbal and written communication skills and the ability to effectively communicate with all levels in the organization.
- Intermediate computer skills including MS Office applications - Excel, Word, PowerPoint, Outlook; AutoCAD, Smartsheet knowledge considered an asset
- Knowledge of the Occupational Health and Safety Act, industrial regulations and applicable CSA standards
- Must have the ability to regularly travel between Distribution Centers; must have valid driver’s license
