Our team includes over 25 registered psychotherapists and social workers who work collaboratively to provide care that is both clinically sound and relationally attuned. What We're Looking For
At Healing Roots Therapy, we are looking for a Clinical Manager who brings both strong leadership and clinical insight to their role, and who is committed to maintaining a high standard of care across the clinic.

You are someone who values structure, consistency, and accountability , and understands how these elements directly impact both client outcomes and team performance. You are confident in supporting clinicians in maintaining regular, ongoing client engagement , recognizing that consistency in sessions is essential for meaningful therapeutic work and long‑term progress.

You bring a balanced leadership approach, able to provide clear direction, set expectations, and uphold clinic standards , while also offering support, guidance, and mentorship to clinicians at varying stages of their development. You are comfortable navigating clinical and operational conversations, addressing challenges with professionalism,



and making thoughtful decisions that align with both ethical practice and clinic values.

You are organized, proactive, and solutions‑focused, with the ability to oversee multiple moving parts while maintaining attention to detail. You take ownership of your role, follow through on responsibilities, and contribute to building systems and processes that support a well‑functioning, structured clinic environment.

Key Responsibilities

Clinical & Admin Team Leadership: Partner with the Operations Manager and Assistant Admin Manager to lead, support, and guide the administrative team, ensuring efficient clinic operations, strong communication, and adherence to clinic protocols and standards.

Training & Development: Support onboarding, training, and ongoing development of admin team members, including participating in training refreshers and contributing to performance feedback and evaluation processes.

Scheduling & Staff Coordination: Oversee administrative scheduling, shift coverage, and time‑off tracking to ensure consistent front desk coverage and smooth clinic operations, while staying informed of therapist absences and supporting continuity of care.

Client Support & Experience: Provide front desk and operational support as needed, assist with consult calls, therapist matching, and client onboarding, and ensure clients are supported with care, professionalism, and clarity throughout their experience.

Client Follow‑Up & Retention: Oversee structured follow‑ups with clients who did not book after consults, canceled or did not attend sessions, or remain unscheduled after sessions, supporting engagement and continuity of care.

Quality Assurance: Maintain oversight of booking systems, secure documentation, payment processes, and administrative workflows to ensure accuracy, consistency, and compliance across clinic operations.

Escalations & Conflict Resolution: Address client complaints, billing concerns, and escalated situations promptly and professionally, supporting conflict resolution involving clients, therapists, and admin staff as needed.

Financial Oversight: Manage Jane Accounts Receivable (AR), including verifying accurate charges, processing credits and refunds, supporting late cancellation and no‑show fee decisions, and overseeing follow‑up on outstanding balances.

Insurance & Documentation Management: Oversee the completion and accuracy of insurance forms, summary reports, and client file requests,



ensuring proper documentation and compliance with privacy and regulatory requirements.

Operational Excellence: Conduct daily walk‑throughs of clinic spaces to ensure a professional, organized, and welcoming environment, and provide guidance around office supplies, facility issues, and general upkeep.

Programs & Engagement: Support clinic programs, assist with organizing Therapist Lunch & Learns and team initiatives, oversee the Engagement Committee, and support outreach efforts to community professionals and referral partners.

Policy Implementation: Collaborate with clinic leadership to implement policies and procedures that improve efficiency, consistency, and quality of care across the clinic.

Requirements

A Diploma in Healthcare Administration or a Master in Business Administration is required ( related fieldmay be considered).

2-3 years in a clinical or medical office setting (Post‑grad)

1-2 years of leadership experience.

Familiarity with healthcare regulations, policies, and procedures is ideal.

Experience with Jane software is an asset

Experience with Microsoft, Outlook, SharePoint, teams and Adobe is a requirement

Ability to work both independently and as part of a team in a fast‑paced environment.

Strong leadership, communication, and problem‑solving skills.

Competitive pay: $25 per hour

Full‑time (37.5 hours per week): Monday-Thursday 8am-4pm, Fridays 12:30pm-8:30pm

Work Hours

Initial 2-month training period:

Mon-Fri, 8:30 AM – 4:30 PM, 9 AM – 5 PM, or 1:30 PM – 9 PM.

Regular schedule (2 virtual days and 3 in‑clinic support):

Monday-Thursday 8am-4pm,

Fridays 12:30pm-8:30pm
