Coordinate and supervise the daily workflow of the Office Services team
Assign and prioritize work based on deadlines, workload, and team capacity
Work alongside the team to complete Office Services requests and provide hands‑on support
Coordinate and oversee high‑volume printing, copying, scanning, binding, finishing, document preparation, and related services
Review and prioritize incoming requests, ensuring urgent and time‑sensitive work is completed
Serve as a resource to lawyers, legal assistants, and staff regarding document services, printing, courier, postage, and other Office Services needs
Train, coach, mentor, onboard, and cross‑train team members
Monitor workload and coordinate coverage for vacations, absences, and increased demand
Troubleshoot Office Services equipment and coordinate servicing, repairs, and technical escalations
Monitor supplies and coordinate ordering of paper, toner, binding supplies, and other materials
Collaborate with Facilities, Hospitality, Reception, IT, and other Business Services teams
Identify and implement workflow, efficiency, process, and service‑delivery improvements
Maintain confidentiality and professionalism when handling sensitive firm and client information
Perform other Office Services duties and special projects as required
Report to the Director of Finance and Operations
Requirements 5+ years of experience in office services, document or print services, or a similar role, preferably within a law firm or qualified services environment
1+ year of supervisory experience




Experience working in a high‑volume environment with competing priorities, tight deadlines, and time‑sensitive requests
Strong knowledge of document reproduction and production processes, including high‑volume printing, copying, scanning, binding, finishing, and document preparation
Working knowledge of courier and postage services, including preparing and processing outgoing mail and courier shipments, selecting appropriate service levels, tracking deliveries, and familiarity with Canada Post and major courier providers
Experience operating and troubleshooting commercial office equipment, including high‑volume printers, copiers, scanners, and finishing equipment
Strong organizational and prioritization skills, with the ability to effectively delegate work and adjust to changing demands
Exceptional communication and interpersonal skills, with a professional, collaborative, and service‑oriented approach
Ability to remain calm and effective under pressure and exercise sound judgment when resolving issues or determining when escalation is required
Proficiency with Microsoft Office and the ability to quickly learn new systems, equipment, and technology




Ability and willingness to work as a hands‑on team lead, spending a significant portion of the day performing Office Services duties alongside the team
Ability to safely perform physical requirements, including lifting and carrying boxes, paper, and supplies weighing up to 40 lbs. (18 kg), bending, moving materials, and handling office equipment
Flexibility to work alternate hours, including 8:00 a.m. to 4:00 p.m., and occasional overtime as required
