Job Summary
We are seeking a motivated and detail-oriented Bookkeeper/Administrative Assistant to join our dynamic team. Duties
- Manage daily bookkeeping tasks using QuickBooks, including invoicing, expense tracking, and reconciliations
- Maintain accurate financial records through diligent data entry and file management
- Support administrative functions such as filing, scanning, and organizing documents both digitally and physically
- Handle inquiries, and direct calls with proper phone etiquette
- Assist with scheduling appointments, managing calendars, and coordinating meetings
- Prepare correspondence, proofread documents for accuracy, and ensure clarity in all communications
- Support medical office operations by managing patient or client records when applicable
- Utilize Microsoft Office Suite and Google Workspace tools for document creation, spreadsheets, and presentations
- Perform general clerical duties such as copying, faxing,
and maintaining organized filing systems
Skills
- Proficiency in QuickBooks accounting software for bookkeeping tasks
- Strong office experience with familiarity in clerical procedures and administrative support
- Excellent computer skills including Microsoft Office (Word, Excel, Outlook) and Google Workspace (Docs, Sheets)
- Exceptional data entry accuracy and typing speed to handle high-volume tasks efficiently
- Proven organizational skills with the ability to prioritize multiple responsibilities effectively
- Experience in customer service roles with professional phone etiquette and customer support skills
- Knowledge of filing systems and front desk operations in a professional setting
- Familiarity with multi-line phone systems for efficient call handling
- Attention to detail for proofreading documents and maintaining accurate records
- Previous medical or dental office experience is a plus but not required; relevant experience enhances performance in specialized environments
