The mandate of the Department of Justice is to administer justice, including policing, community justice, victims services and corrections in the Northwest Territories. This mandate will be carried out in a manner which respects community and indigenous values and encourages communities to assume increasing responsibilities.
Job Information
Reporting to the Manager, Legal Aid Commission Program Support, as the Administrative Assistant, you will provide reception, administrative, and clerical support for the Legal Aid Commission in accordance with applicable legislation, regulations, policies, and office procedures. You will serve as a key point of contact for clients, the public, and stakeholders, ensuring the effective intake of legal aid applications, management of correspondence and records, maintenance of client files, and coordination of administrative processes. You support the Commission's operations by maintaining accurate records, facilitating communication, and providing organizational support for staff and Board activities. The position is responsible for supporting a high-volume environment with up to 2,000 active legal aid files requiring ongoing administrative assistance.
Key Responsibilities
- Provides administrative and organizational support to the Legal Aid Commission office, including scheduling, Board meeting coordination, attendance tracking, and general office support.
- Front-line client and reception services, including handling inquiries, calls, and directing clients to appropriate resources.
- Legal aid application intake and data entry, ensuring accurate processing of incoming applications.
- Records and file management, including client files, archiving, and records administration.
- Document and correspondence management, including distributing mail and transmitting legal documents to courts and stakeholders.
Knowledge and Skills
- Proficiency with personal computers and appropriate software (Microsoft Office Suite, Excel, Outlook).
- Knowledge of GNWT records management processes.
- Ability to type between 30 - 50 wpm.
- Familiarity with database software.
- Demonstrated ability to deal with hostile and potentially angry clientele.
Key Qualifications
Completion of high school or post-secondary keyboarding or office procedures course, at least three (3) years of general office administration experience and previous experience in a law office setting.
Acceptable Equivalency
Completion of a Business Administration diploma with at least 2 years of general office administration experience.
Or
Completion of a Business Administration degree with at least 1 year of general office administration experience.
