We are seeking a highly organized, detail-oriented, and proactive Accounting & Office Administrator to support operations at our new facility located in the industrial heart of south Vancouver.

Position Overview

Reporting directly to senior leadership, the Accounting & Office Administrator is responsible for a broad range of accounting, administrative, and office support functions.

The ideal candidate is a self-starter who enjoys working independently and takes pride in maintaining accuracy, professionalism, and operational excellence while supporting team efforts.

This position plays a critical role in ensuring efficient business operations through accurate financial administration, payroll processing, customer support, and office coordination.

Key Responsibilities

Accounting & Finance

- Prepare and process customer invoices accurately and in a timely manner.
- Manage accounts receivable; including payment tracking, collections, and customer account reconciliations.
- Manage accounts payable; processing vendor invoices matched to packing lists and Purchase Orders
- Processing material procurement through RFQ’s and writing purchase orders.
- Maintain accurate accounting records and supporting documentation.




- Assist with month-end and year-end financial reporting and audits.
- Monitor cash flow activities and identify discrepancies for resolution.
- Support budgeting, forecasting, and financial reporting requests.

Payroll & Human Resources Support

- Support employee onboarding, benefits administration, and related documentation.
- Coordinate with external payroll, benefits, and accounting providers as required.

Office Administration

- Coordinate daily office operations and administrative activities.
- Manage incoming calls, emails, mail, and visitor inquiries professionally and efficiently.
- Maintain organized electronic and physical filing systems.
- Ensure office supplies, equipment, and vendor relationships are effectively managed.
- Support management with administrative matters as needed.
- Assist with preparation of import and export shipping documents.
- Assist with printing of materials as required.

Systems & Process Improvement

- Identify opportunities to improve administrative and accounting processes.
- Utilize digital tools and AI-assisted technologies to enhance productivity, accuracy, and reporting.
- Maintain data integrity across accounting, payroll and operational systems.
- Assist with documenting and implementing standard operating procedures.

Qualifications

Required

- Experience in accounting, bookkeeping, finance administration, or office administration.
- Strong knowledge of accounts payable, accounts receivable, bank reconciliations, and billing processes.
- Proficiency with accounting software and Microsoft 365 applications, including Excel, Outlook, Word,



and Teams.
- Excellent organizational skills with the ability to manage multiple priorities and deadlines.
- High attention to detail, accuracy, and confidentiality.
- Strong written and verbal communication skills.
- Ability to work independently while collaborating effectively with a team.
- Knowledge of ERP, inventory, or production systems.

Preferred

- Experience with accounting software.
- Post-secondary education in Accounting, Finance, Business Administration, or a related discipline.
- Experience supporting a small-to-medium-sized business in a multi-functional role.
- Familiarity with AI-powered workplace tools and the responsible use of AI technologies.

Preferred Experience

- Accounts Payable and Accounts Receivable: 3+ years
- Accounting or Bookkeeping: 3+ years
- Payroll Administration: 3+ years
