POSITION TITLE: Finance & HR Administrative Assistant

CLASSIFICATION: Excluded

REPORTS TO: Executive Director

JOB SUMMARY:

The Finance & HR Administrative Assistant will:

- provide administrative support to the Finance, Payroll/Benefits, and Human Resources functions of the agency;
- assist with the accuracy and timeliness of payroll, accounts payable, and human resources documentation and records; and
- contribute to the smooth functioning of the administrative department.

QUALIFICATIONS:

The Finance & HR Administrative Assistant will have:

- post-secondary education in office administration, accounting/bookkeeping, human resources, or a related field;
- training and/or experience in a financial/accounting environment (e.g., bookkeeping, accounts payable, or payroll);
- one to two years' experience in an office, administrative, or bookkeeping environment; or
- an equivalent combination of education, training and experience.

SKILLS & KNOWLEDGE:

The Finance & HR Administrative Assistant will require:

- excellent accuracy and attention to detail when working with financial and personnel information;
- strong organizational and time management skills, with the ability to prioritize a fluctuating workload and meet recurring deadlines;
- excellent computer skills, including proficiency in Microsoft Office (particularly Excel); experience with accounting and/or payroll software is an asset;
- the ability to maintain strict confidentiality in relation to payroll, perks, personnel, and financial records;
- excellent communication and interpersonal skills, and the ability to work with tact and diplomacy;
- the ability to work independently and as part of a team with minimal supervision; and
- a valid driver's license.

RESPONSIBILITIES:

The Finance & HR Administrative Assistant will:

- assist the Payroll function during peak processing periods, including December/January and March/April;
- check and coordinate employee benefit enrollments, changes,



and terminations with the benefit carrier;
- run payroll and benefit reports and calculations, including biweekly payroll reports, as needed;
- alphabetize and maintain payroll filing systems, and ensure files for terminated employees are moved to the terminated employee folder in accordance with agency retention practices;
- assist with the calculation and processing of retroactive pay;
- book and coordinate interviews for hiring processes;
- send and track reference check requests;
- provide filing assistance for human resources records;
- track staff training and professional development records;
- process accounts payable, including coding, data entry, and preparation of payments;
- provide support during the annual financial audit, including pulling documentation and running reports as requested;
- perform other finance-related tasks as assigned;
- maintain the archive room, including leading the annual destruction of records that no longer require retention, scanning documents requiring digital retention, filing hard copy and digital records in accordance with agency policy, and moving records to archive as needed;
- maintain strict confidentiality in relation to the production of all documents specific to clients, staff, and the operation of the agency;
- assist with other administrative duties as required (e.g., maintaining wage spreadsheets); and
- perform any other related duties as assigned by the Executive Director.

HOURS OF WORK: 15 hours per week (part-time) - Weekdays

RATE OF PAY: $27.53
