Job Overview
We are looking for a reliable, detail-oriented Bookkeeper & Administrative Assistant to support the daily operations of our businesses.

This is a hands-on role for someone who enjoys variety, is comfortable working with numbers, and can stay organized while handling bookkeeping support, administrative tasks, customer follow-ups, inventory reports, shipping records, and property-related documentation.

The right person will be dependable, accurate, trustworthy with confidential information, and able to follow through on tasks without constant reminders.

This role involves many small moving parts each day, so the successful candidate must be comfortable staying organized, following up, assisting other members of the team, and keeping accurate records without constant supervision.

Key Responsibilities (not limited to):

Bookkeeping & Accounting Support

- Scan, track, and record vendor bills, receipts, expenses, and payments in Excel tracking sheets.
- Process credit card and cheque payments, ensuring accurate invoice matching and proper documentation.
- Reconcile monthly bills and credit card statements with merchant transaction platforms such as Elavon.
- Prepare organized records for quarterly HST, year-end accounting, and internal forecasting.
- Monitor overdue customer invoices and assist with polite follow-ups when required.

Administrative & Client Support

- Manage incoming emails, missed calls, and voicemails promptly and professionally.
- Assist with customer follow-ups,



vendor coordination, filing, and general office administration.
- Maintain organized records so documents can be found quickly when needed.

E-Commerce & Sales Tracking

- Maintain and refresh inventory tracking reports to help identify out-of-stock items.
- Track platform income and expenses from channels such as Faire and Etsy.
- Calculate monthly sales commissions on shipped invoices using company records and reports.

Logistics & Shipping Management

- Track and document carrier invoices from Canada Post, UPS, Chit Chats, and other providers.
- Assist with freight claims and shipping-related records when needed.
- Help monitor shipping supplies and notify management when supplies need to be reordered.

Property Administration Support

- Maintain property records, including rent rolls, annual TMI statements, rent roll forecasts, property valuation assessments, insurance certificates, and lease renewal reminders.
- Assist with organizing property documents, invoices, and tenant-related records.

General Operations

- Perform other administrative and bookkeeping duties as assigned to support daily operations.
- Help keep daily work organized and ensure important items are followed up on in a timely manner.

Qualifications & Skills

- Work Arrangement: Must be able to commute daily to our office location at 1589 The Queensway, Etobicoke. This is an in-person role only.
- Experience: Minimum 1 year of experience in bookkeeping,



administrative assistance, office administration, or property administration.
- Software/Tools: Proficiency in Microsoft Excel, including data entry, formulas, and refreshing datasets. Familiarity with shipping, payment, or merchant portals such as Elavon, UPS, and Canada Post is an asset.
- E-Commerce & Real Estate Knowledge: Prior experience handling e-commerce platform statements such as Faire or Etsy, or property rent rolls/HST records, is a strong asset.
- Attention to Detail: Excellent organizational skills with a careful and systematic approach to document filing, number tracking, and task follow-up.
- Communication: Clear verbal and written communication skills for customer follow-ups, vendor coordination, and internal updates.
- Reliability & Follow-Through: Strong attendance, punctuality, and the ability to follow up on tasks without constant reminders.
- Confidentiality: Comfortable handling confidential financial, customer, employee, and property-related information with discretion.
- Accuracy with Numbers: Comfortable working with invoices, expenses, payments, spreadsheets, and reconciliations.
- Independence: Able to manage multiple small tasks throughout the day while staying organized and accurate.

Pay: $22.00-$26.00 per hour
