Business Operations Lead
Full-Time | Dartmouth, Nova Scotia
Salary: $44,000–$60,000 annually, based on experience, with opportunity to grow into an Operations Manager role
Position Overview
Black Bow Gift Co. is seeking a highly organized, creative and hands-on Business Operations Lead to help oversee the day-to-day operations of our growing gifting company.
Reporting directly to the CEO, the Business Operations Lead will take ownership of key operational areas including order and production workflows, inventory management, eCommerce operations, B2B project coordination, customer experience and team execution.
This role requires a unique combination of operational thinking, creativity and exceptional attention to detail. Our work is highly visual and detail-driven, and the successful candidate will naturally notice when something is incorrect, inconsistent or simply doesn't look right. You should have a strong eye for presentation and be someone who catches mistakes easily—before they reach a client or customer.
This is a hands-on leadership position. You will lead and coordinate the work of others while becoming familiar with every major aspect of our operation. Previous gift production experience is not required; however, you will be expected to learn our gift-making, packaging and production processes so you can confidently oversee the team, maintain our standards and step in when required.

Key Responsibilities Operations & Workflow Management
- Oversee day-to-day workflows across eCommerce orders, corporate projects, local orders and gift production.
- Coordinate priorities, timelines and resources to ensure work is completed accurately and on schedule.
- Maintain Black Bow Gift Co.'s quality, presentation and fulfillment standards.
- Review work with a critical eye and identify errors, inconsistencies or presentation issues before orders leave our studio.
- Anticipate operational challenges and proactively implement practical solutions.
- Work hands-on within the operation when required to support deadlines and changing business needs.
Team Leadership & Accountability
- Provide day-to-day leadership, direction and support to team members.
- Assign and prioritize work based on deadlines, workload and business requirements.
- Establish clear expectations and ensure commitments and deliverables are followed through.
- Learn Black Bow Gift Co.'s gift production and packaging processes to effectively train, support and oversee the team.
- Support employee onboarding, training and ongoing development.
- Identify performance or workflow concerns early and work proactively to resolve them.
- Foster a collaborative environment built around accountability, quality and continuous improvement.
Inventory & Supply Coordination
- Take ownership of inventory organization, accuracy and replenishment.
- Monitor inventory levels and identify purchasing requirements.
- Coordinate incoming inventory and ensure products are received, recorded and organized accurately.
- Maintain effective inventory tracking and storage systems.
- Proactively identify shortages, discrepancies or supply issues that could impact orders or production.
B2B & Client Project Coordination
- Coordinate corporate gifting projects from confirmed requirements through production and fulfillment.
- Manage project timelines, requirements, budgets and internal deliverables.
- Communicate professionally with clients, vendors and internal team members throughout project execution.
- Assist with sourcing, costing, proposals and custom gifting requirements.
- Bring creativity and strong visual judgment to custom gifting projects and client solutions.
- Ensure custom and high-volume projects are delivered accurately, on time and according to client expectations.
eCommerce & Shopify Operations
- Support the day-to-day management of our Shopify eCommerce platform.
- Maintain accurate product information, pricing, inventory and website content.
- Coordinate new product and gift launches.
- Identify and troubleshoot Shopify or operational issues affecting the customer experience.
- Ensure online content and product presentation meet Black Bow Gift Co.'s visual and quality standards.
Customer Experience
- Help oversee customer service and ensure inquiries and issues are handled promptly and professionally.
- Resolve escalated customer concerns using sound judgment and a solution-focused approach.
- Maintain the high level of service, communication and attention to detail expected from our team.
Processes & Continuous Improvement
- Develop, document and improve operational processes and procedures.
- Identify opportunities to increase efficiency, reduce errors and improve consistency.
- Implement systems that create greater accountability and visibility across the business.
- Use sales, inventory and operational information to identify challenges and opportunities for improvement.
- Look for better ways of doing things rather than simply working around recurring problems.
Required Experience & Skills
- Minimum 2 years of experience in a leadership, supervisory or operational coordination role.
- Demonstrated experience managing people, workflows and competing priorities.
- Hands-on Shopify experience is required.
- Experience working within eCommerce operations.
- Experience coordinating B2B clients, projects or complex customer orders.
- Exceptional attention to detail and a natural ability to identify mistakes, inconsistencies and quality issues.
- Strong creative and visual judgment.
- Excellent organizational and time-management skills.
- Strong written and verbal communication skills.
- Demonstrated ownership, accountability and follow-through.
- Strong problem-solving skills and sound judgment.
- Comfortable learning new technology and troubleshooting operational or technical challenges.
- Ability to manage multiple priorities while maintaining accuracy and meeting deadlines.
Previous gift-making or gift-production experience is not required. The successful candidate will receive training in our production methods and will be expected to become proficient in these areas as part of their responsibility for leading and supporting the team.

Compensation & Growth
Salary: $44,000–$60,000 annually, based on experience and demonstrated capabilities.
