Job Overview
Property & Tenant Management
- Coordinate maintenance, repairs, and renovation work following tenant move-outs.
- Ensure properties are fully rent-ready and meet company standards prior to marketing and tenant occupancy.
- Respond to tenant inquiries, concerns, and service requests promptly and professionally.
- Coordinate with internal teams and service providers to resolve property-related issues efficiently.
Owner Relations
- Coordinate the onboarding process for new property owners and ensure all required documentation is completed.
- Conduct property evaluations and provide recommendations regarding repairs, improvements, and rental readiness.
- Prepare property marketing materials, including photos, descriptions, and rental recommendations.
- Maintain accurate and up-to-date owner records and property documentation.
- Build and maintain robust owner relationships through responsive communication and exceptional customer service.
- Provide owners with regular updates regarding property maintenance, renovations, and other significant property matters.
Maintenance & Vendor Management
- Review completed maintenance work to ensure quality, accuracy, and compliance with company standards.
- Review and process maintenance-related invoices, quotations, and billing.
- Coordinate maintenance vendors, contractors, and service providers.
- Monitor work to ensure projects are completed on schedule, within approved budgets, and to company standards.
- Meet regularly with maintenance personnel to review outstanding work, address concerns, and monitor progress.
- Follow up on outstanding maintenance items to ensure timely completion and proper resolution.
Renovation Project Management
- Identify properties requiring repairs, improvements, or renovation prior to re-rental.
- Inspect properties and prepare detailed renovation scopes and cost estimates.
- Obtain owner approvals and required deposits before commencing work.
- Develop and coordinate renovation schedules with contractors and service providers.
- Monitor project budgets, timelines, workmanship, and overall quality.
- Provide property owners with regular project updates, including progress photos and status reports.
- Coordinate project completion, final inspections, and invoicing.
- Ensure renovation projects are completed efficiently and meet company and owner expectations.
Financial Administration
- Process maintenance and renovation-related billing and ensure charges are accurately recorded.
- Review vendor invoices, estimates, and quotations for accuracy and completeness.
- Manage billing related to cleaning, grounds maintenance, and other property services.
- Assist with payment reconciliation and financial reporting as required.
- Ensure property-related expenses are properly documented and allocated.
Leadership & Operations
- Act as a point of escalation for complex owner, tenant, maintenance, and property-related issues.
- Identify opportunities to improve processes, workflows, and operational efficiency.
- Develop and maintain effective working relationships with administration, leasing, accounting, and maintenance teams.
- Support consistent implementation of company policies, procedures, and service standards.
- Take initiative in identifying and resolving operational issues before they escalate.
Emergency Response
- Participate in an after-hours emergency response rotation.
- Coordinate emergency repairs, contractor dispatch, and urgent property-related services.
- Communicate with owners, tenants, and service providers during emergency situations.
- Follow up on emergency repairs to ensure issues are fully resolved and appropriate documentation is completed.
- Assist with coordinating follow-up repairs, restoration, and required reporting following emergency incidents.
Pay: $60,000.00-$70,000.00 per year
