Job Overview
We are seeking a dynamic and highly organized Arts Administrator to join our vibrant arts organization. In this role, you will be the heartbeat of our administrative operations, ensuring the seamless coordination of all show rental bookings. Your energetic approach and meticulous attention to detail will help foster an inspiring environment where artistic excellence thrives.

Duties
- Manage and all show bookings, contracts, invoices, and production schedules from inception to completion, ensuring all logistical details are handled efficiently.
- Oversee administration management, including maintaining accurate databases using QuickBooks, Streak and Excel for inventory tracking and bookings.
- Handle procurement processes, managing budgets, and ensuring timely delivery of costume supplies and services.
- Provide exceptional customer service by assisting theatre and film and television, and artists, with inquiries and support related to shows and custom design costumes.
- Utilize project management tools like Microsoft Project to plan timelines, assign tasks, and monitor progress across multiple projects simultaneously.
- Prepare detailed reports, correspondence, and documentation in clear English, demonstrating strong writing skills and communication abilities.
- Support team leadership by coordinating meetings, managing calendars via Google Calendar, and facilitating effective internal communication.
- Assist with filing, records management,
and database updates to ensure compliance with organizational policies.
- Contribute to organizational growth through innovative ideas and new systems.
Qualifications
- Proven administrative experience within arts organizations or similar environments; familiarity with arts programming is a plus.
- Solid proficiency in Microsoft Office Suite—especially Word, Excel, PowerPoint, QuickBooks, Streak, and Outlook—and experience with Microsoft Access.
- Demonstrated project management skills with experience using tools like Microsoft Project or similar platforms.
- Exceptional organizational skills with the ability to manage multiple priorities efficiently while maintaining attention to detail.
- Outstanding customer service abilities combined with excellent written communication skills.
- Ability to negotiate effectively with vendors and partners while maintaining professional relationships.
- Knowledge of databases, filing systems, procurement processes, records management practices, and time management techniques.
- Leadership qualities that inspire teamwork; proactive problem-solving capabilities; adaptability in a fast-paced environment.
