For the needs of one of our prestigious clients, a major banking actor in Montreal currently experiencing solid growth, we are actively seeking an experiencedData Administrator to join their operations team.
Role Overview:This is an entry-level data administration role supporting the KYC and Client Onboarding teams . The primary function is accurate and timely data entry, system maintenance, and document processing . The role does not involve KYC analysis, compliance decision-making, or client relationship management .
Key Responsibilities
- Enter approved counterparty data into the in-house KYC system and local counterpart database, following completion of KYC review by the KYC team .
- Set up and maintain counterparty records in trading systems (back office and front office) as instructed .
- Run and review daily reconciliation reports to flag data inconsistencies between systems for team review .
- Process client onboarding tasks in electronic platforms, including access setup and mailing address updates, coordinating with the KYC team as directed .
- Close client files and accounts in downstream systems upon instruction, after confirming no open activity .
- Track and process Patriot Act certificate renewals; elevate to compliance contacts and the Front Office as needed .
- Collect, capture, and validate W-8 and W-9 tax certification forms in internal systems; flag invalid forms to the relevant Sales or WRM contact and elevate system issues to the Tax Department .
- Collect and process Prime Brokerage documentation (Forms 150, 151, and F1SA) in accordance with established procedures .
- Set up and maintain USD Fed Wire transfer templates in the bank payment system per business line instructions .
- Maintain accurate documentation in bank systems in line with record-keeping standards .
- Complete all mandatory trainings and maintain competence requirements for the role .
Requirements
Qualifications & Experience
- University degree or equivalent .
- 0-2 years of experience in a financial institution; back office or data administration experience preferred .(Candidates with more than 3 years of experience in KYC, compliance, or client-facing roles are unlikely to find this role a suitable fit) .
- Good knowledge of MS Office packages, especially in Excel .
- Strong organizational skills with excellent attention to detail, very well organized, and a good sense of prioritization .
- Ability to work with a small team while multi-tasking, self-motivated, and an excellent team player .
- Follows established processes accurately and flags issues promptly .
- Comfortable with repetitive, process-driven tasks requiring high accuracy .
- Ability to work under time pressure .
- Understanding tax certification is a plus (desired) .
Language Requirement
Fluent English (mandatory, excellent verbal and written communication skills) .
Working Conditions
- Working Hours: Consultant will need to cover sometimes outside of working hours to cover some activity; might need to start at 9:30 am to cover after 5:00 pm activities .
- Working from Home (WFH): Voluntary basis for up to 2 days per week after 2 months of joining, subject to manager’s discretion .
- Calendar: Follow US calendar for holidays
