We’re looking for a hardworking, neurodiversity-affirming Clinic Coordinator to join our Langford team. You’ll be the primary point of contact for our clients and clinicians, handling everything from the first "hello" to the final invoice with emotional intelligence and a positive attitude. Qualifications &
Skills
- A background in mental health or a related field; experience working with children, teens, and families is a significant asset.
- Strong computer skills (Google Workspace); mastery of the Jane app is highly preferred.
- Exceptional organizational skills and a cooperative, "can-do" attitude. You should be a critical thinker who remains calm under pressure and is open to growth and direction.
- You are inclusive, encouraging, and possess the high emotional intelligence required to handle sensitive client concerns with empathy.
- Diploma or Certificate in Office Administration preferred.
Key Responsibilities
- Be the first point of contact via phone and email. You’ll manage inquiries,
greet families, and handle scheduling in a timely manner.
- Get new clients set up in the Jane app, ensure all forms are completed, consents are signed, and digital and physical files are organized with up-to-date documentation
- Collect payments, handle third-party billing, and track outstanding accounts
- Provide daily problem-solving and administrative support to clients and clinicians
- Maintain a tidy, welcoming, and fully stocked clinic. Tasks include order and inventory management (office supplies, groceries, toys), light cleaning, occasional bank/post office runs.
- Collaborating with Clinical Director and clinicians to oversee logistics and use of their time.
This is a temporary employment contract for a maternity leave. Employee contract is from May 2026 - October 2027 with the potential to continue on at this time.
