MVA Clinic Administrator / Case Coordinator – Psychological Services
Location: Scarborough OR Mississauga, Ontario
Schedule: Monday to Friday, 9:00 AM – 5:00 PM
Position Type: Contract
Work Arrangement: In-Person, 5 Days Per Week
Compensation: $20.00–$25.00 per hour, based on experience and qualifications
About the Position
We are a growing multidisciplinary healthcare clinic specializing primarily in psychological assessments and psychological treatment for individuals involved in motor vehicle accidents (MVA).
We are currently seeking an experienced MVA Clinic Administrator / Case Coordinator to join our team.
The successful candidate must already have a strong understanding of the Ontario MVA/Accident Benefits industry and be comfortable managing client files, submitting treatment plans, communicating with insurers and law firms, and coordinating services within a multidisciplinary clinical environment.
Depending on where the successful candidate lives, the position may be based at either our Scarborough or Mississauga location.
MVA EXPERIENCE IS REQUIRED A minimum of two (2) years of direct experience working within an Ontario MVA rehabilitation, assessment, or multidisciplinary clinical setting is required.
This is not an entry-level position.
Applicants should already be familiar with HCAI, OCF-18 Treatment and Assessment Plans, insurance adjusters, personal injury law firms, and the general administrative processes associated with Ontario automobile accident benefit claims.
Key Responsibilities The successful candidate's responsibilities will include:
- Preparing, reviewing, submitting, and following up on OCF-18 Treatment and Assessment Plans
- Submitting treatment plans and other required documentation through the HCAI platform
- Monitoring treatment plan submissions, insurer decisions, approvals, partial approvals, denials, and outstanding responses
- Following up with insurance companies regarding treatment plans, documentation, approvals, and other outstanding matters
- Communicating professionally with insurance adjusters
- Communicating with personal injury lawyers, law clerks, legal assistants, and other legal representatives
- Communicating directly with clients regarding assessments, treatment, scheduling, approvals, and other file-related matters
- Coordinating psychological assessments and psychological treatment
- Scheduling and coordinating clients with psychologists, psychotherapists, therapists, assessors, and other healthcare professionals
- Maintaining accurate, organized, and up-to-date MVA client files
- Monitoring outstanding documentation and ensuring appropriate follow-up
- Assisting with the coordination of approved treatment and assessment services
- Working collaboratively with clinical and administrative team members
- Managing multiple active client files and ensuring that important follow-ups and deadlines are not missed
- Supporting the clinic's general day-to-day MVA administrative and operational requirements
Required Qualifications
Applicants must have
- Minimum 2 years of direct Ontario MVA/auto insurance rehabilitation industry experience
- Hands-on experience using HCAI
- Experience preparing and submitting OCF-18 Treatment and Assessment Plans
- Experience following up on treatment plan approvals and insurer decisions
- Experience communicating with insurance adjusters
- Experience communicating with personal injury law firms
- Experience communicating professionally with MVA clients
- Experience working within a rehabilitation, assessment, psychological, or multidisciplinary healthcare clinic
- A good understanding of the administrative processes surrounding Ontario automobile accident benefit claims
- Robust written and verbal communication skills
- Strong organizational and file-management skills
- Excellent attention to detail
- Ability to manage and prioritize multiple files and responsibilities
- Ability to follow up proactively rather than waiting for direction
- Ability to work independently while functioning effectively as part of a multidisciplinary team
Preferred Experience Preference will be given to candidates with experience in:
- Psychological assessments
- Psychological treatment and counselling
- Working with psychologists and registered psychotherapists
- High-volume MVA rehabilitation or assessment environments
- Managing OCF-18 approvals, partial approvals, denials, and insurer follow-ups
- Coordinating communication between clinics, insurers, lawyers, healthcare providers, and clients
Schedule & Work Location This is a full-time, in-person position, Monday to Friday from 9:00 AM to 5:00 PM.
The successful candidate must be available to attend the clinic five days per week.
Depending on the candidate's location, they may work from either our:
- Scarborough location, or
- Mississauga location
This position is not remote or hybrid.
Compensation
$20.00–$25.00 per hour, commensurate with experience and qualifications.
The final rate will be determined based on the successful candidate's level of MVA industry experience, familiarity with HCAI and OCF-18 submissions, and overall qualifications.
This is a contract position, with compensation and terms to be finalized with the successful candidate.
Who We Are Looking For
We are looking for an individual who can enter the position with an existing understanding of the Ontario MVA industry, rather than someone who requires training from the beginning on HCAI, OCF-18s, or Accident Benefits processes.
The ideal candidate is organized, dependable, professional, proactive, and detail-oriented.
You should be comfortable communicating daily with clients, adjusters, lawyers, therapists, psychologists, and other healthcare professionals.
Most importantly, we are looking for someone who takes ownership of their responsibilities, keeps files organized, follows up on outstanding matters, and works well as part of a busy multidisciplinary team.
