Black Label Automotive Group is seeking a highly organized, dependable, and proactive Operations & Administrative Coordinator to support the day-to-day administrative and operational needs of our growing automotive business.
This is a hands-on role for someone who is comfortable managing a wide variety of responsibilities, staying on top of deadlines, following up on outstanding items, and ensuring that important administrative tasks do not fall through the cracks.
The successful candidate will work closely with management and play an important role in keeping dealership operations organized and efficient.
This is not primarily a bookkeeping position; however, bookkeeping, QuickBooks, and general accounting knowledge would be considered a strong asset.
Position Details
- Full-time position
- Approximately 35 hours per week
- Based in Belle River, Ontario
- Primarily an in-office position

Key ResponsibilitiesAdministrative Support
- Provide administrative support to management
- Manage and prioritize administrative tasks, reminders, and follow-ups
- Assist with email correspondence and ensure important matters are followed up on
- Coordinate appointments, meetings, deadlines, and schedules
- Prepare letters, documents, spreadsheets, reports, and other business correspondence
- Maintain organized digital and physical filing systems
- Track outstanding items and follow through until completion
- Handle confidential business information professionally and discreetly
Business Operations
- Assist with the day-to-day administrative operations of the dealership
- Communicate with customers, suppliers, vendors, financial institutions, warranty providers, and other business partners
- Track invoices, payments, deposits, refunds, and outstanding balances
- Organize receipts, purchase records, vehicle expenses, and supporting documentation
- Assist with vendor accounts and resolve billing discrepancies
- Maintain internal checklists and operational records
- Assist with dealership paperwork and administrative compliance requirements
- Coordinate documentation between departments and outside service providers
- Follow up on outstanding customer, vehicle, vendor,
and administrative matters
- Help improve administrative processes and organization as the company grows
Warranty Administration
- Submit and manage warranty claims
- Communicate with warranty providers regarding claims and authorizations
- Maintain accurate warranty documentation and supporting records
- Follow up on outstanding claims and payments
- Coordinate required information between customers, technicians, service providers, and warranty companies
- Maintain organized records of warranty claims and their status
- Assist with customer warranty inquiries when required
Accounting & Bookkeeping Support This position is not intended to function primarily as a bookkeeper; however, the successful candidate will assist with basic accounting administration.
Responsibilities may include
- Organizing receipts, invoices, and expense documentation
- Entering and categorizing transactions
- Assisting with accounts payable and accounts receivable
- Tracking customer and vendor payments
- Reconciling basic records and identifying discrepancies
- Preparing organized documentation for the company's accountant/bookkeeper
- Maintaining accurate financial and transaction records
- Assisting with QuickBooks Online where required
What We're Looking For
- Previous administrative, office management, operations, or similar experience
- Excellent organizational and time-management skills
- Strong attention to detail
- Strong written and verbal communication skills
- Ability to manage multiple priorities simultaneously
- Ability to independently follow up and complete outstanding tasks
- Professional telephone and email communication skills
- Strong computer skills
- Experience with Microsoft Office and/or Google Workspace
- Ability to work with spreadsheets and maintain accurate records
- Professionalism when handling confidential information
- Valid Ontario G driver's licence
Strong Assets
- QuickBooks Online experience
- Previous bookkeeping or accounting administration experience
- Accounts payable/accounts receivable experience
- Automotive dealership experience
- Automotive warranty administration experience
- Service department administration experience
- Experience working directly with a business owner or senior manager
