Position Description The Art Canada Institute (ACI) is seeking an experienced, highly organized, and detail-oriented Production Editor to manage production of its print and digital publications. Working under the direction of the Senior Executive Editor and closely with authors, editors, designers, translators, image researchers, and external suppliers, the Production Editor will guide publications from edited manuscript through design, proofreading, and final release.

The successful candidate will combine excellent editorial judgment with strong project-management and time-management skills and a meticulous approach to accuracy and quality control. They will be comfortable managing 8–10 publications simultaneously, establishing priorities, coordinating complex schedules, and managing competing demands under deadline pressure. A collaborative and diplomatic approach is essential, as is confidence in identifying problems, recommending practical solutions, and following projects through to completion.

The candidate will be committed to ensuring that every ACI publication meets the organization’s editorial, scholarly, and visual standards, and will bring an interest in Canadian art and in making art scholarship accessible and engaging.

About the Art Canada Institute The Art Canada Institute (ACI) is a national, not-for-profit organization dedicated to making Canadian art history a contemporary, multi-vocal conversation. We promote the study of an inclusive Canadian art history to as broad an audience as possible.

Through digital and print publications, educational initiatives, and public programming, ACI celebrates the artists and artworks that have shaped Canada’s cultural landscape.

The Production

Editor plays a central role in advancing this mandate by ensuring that ACI’s publications move successfully from manuscript to final release. Managing the production of multiple print and digital titles, the Production Editor coordinates the people, processes, and materials required to bring ACI’s scholarship to publication, while maintaining the highest standards of editorial accuracy, consistency, and quality. Through this work, the Production Editor helps ensure that authoritative and accessible Canadian art history reaches audiences across Canada and around the world.

Key Responsibilities of the Role

Publication Production

- Manage print and digital publications from final manuscript through design, proofreading, approval, and publication.
- Develop and maintain production schedules, ensuring that editorial, design, translation, image, and delivery deadlines are met.
- Coordinate the work of authors, editors, proofreaders, designers, translators, image researchers, and other contributors.
- Prepare manuscripts and related materials for design and production.
- Review layouts, page proofs, digital editions, and final files for accuracy, consistency, and completeness.




- Track corrections through successive proof stages and confirm that all approved changes have been implemented.
- Conduct final quality-control reviews before publication.

Editorial, Design, and Image Coordination

- Oversee copy-editing and proofreading of publications.
- Apply and maintain ACI’s editorial style and publication standards.
- Ensure consistency across text, captions, notes, bibliographies, timelines, image credits, and supplementary materials.
- Work closely with designers throughout layout and proofing to ensure editorial requirements are accurately reflected and corrections are properly implemented.
- Coordinate English- and French-language editions, ensuring consistency between versions while accommodating linguistic differences.
- Work closely with the image research team to ensure image materials, captions, credits, and permissions information are complete and ready for publication.
- Verify that image captions, artwork information, copyright notices, and reproduction credits are accurate and complete.
- Liaise with image researchers to resolve outstanding image, caption, credit, or permissions issues during production.
- Check digital publications for formatting, navigation, links, image quality, and accessibility prior to release.
- Coordinate updates and corrections to published digital content.
- Work with ACI’s editorial, design, and technology teams to improve digital production processes and reader experience.

Project Administration

- Maintain organized production files, correspondence, schedules, approvals, and version histories for all publications in production.
- Participate in regular production meetings, providing clear updates on publication status, upcoming deadlines, outstanding materials, and issues requiring attention.
- Anticipate production risks and scheduling conflicts, flag potential delays promptly, and recommend practical solutions to keep projects on schedule.
- Prepare contracts for editorial contractors/freelancers and coordinate contract details, approvals, and documentation.
- Obtain and assess estimates from printers, proofreaders, translators, designers, and other external suppliers as required, and coordinate approvals and deliverables.
- Assist with the preparation of publication budgets, track production costs against approved estimates, and flag significant variances as they arise.
- Help develop, maintain, and refine editorial and production workflows, templates, checklists, file-management practices, and quality-control standards to support an efficient and consistent publishing process.

Ideal Candidate Profile The ideal candidate will possess:

- At least 5 years of professional experience in editorial production or publishing,



with demonstrated responsibility for managing publications through multiple stages of production.
- Bachelor’s degree in English, communications, journalism, publishing, or a related field, or an equivalent combination of education and professional experience.
- Exceptional proofreading, copy-editing, and quality-control skills.
- Demonstrated ability to manage complex projects, multiple contributors, and overlapping deadlines.
- Excellent written and verbal communication skills.
- Strong knowledge of editorial conventions and a recognized style guide, preferably The Chicago Manual of Style. Demonstrated ability to learn and apply an organizational style guide to maintain high editorial standards.
- Experience reviewing designed pages and communicating corrections clearly to designers.
- Proficiency with Microsoft Office, Adobe Acrobat, and collaborative project-management and file-sharing platforms.
- Familiarity with Adobe InDesign and digital content-management systems is an asset.
- Experience working on illustrated art books, scholarly publications, museum catalogues, or digital publishing is strongly preferred.
- Knowledge of image permissions, copyright, and artwork documentation is considered an asset.
- Experience working in a bilingual (English/French) publishing or cultural environment is considered an asset. French-language proficiency is considered an asset.
