Entity: WELLSTAR Clinical Platform GroupPosition Title: Operations CoordinatorSalary Range: $75,000 - $85,000Job Class: Full TimeWork Location: Remote on site as requiredAbout the Company:WELLSTAR, a majority-owned subsidiary of WELL Health Technologies Corp., is Canada's leading provider of healthcare-focused technology solutions.WELLSTAR Clinical Platform Group (WCPG) is a growing organization focused on delivering technology solutions and operational value to clinics.As the organization continues to expand across sales, account management, implementation, infrastructure, customer success, customer support, product development and engineering, we are seeking an Operations Coordinator to bring structure, accountability, operational rigor, and process optimization to a rapidly evolving environment.This is an ideal opportunity for a highly organized, execution-oriented professional who enjoys building systems, improving workflows, coordinating cross-functional teams, and helping leadership teams operate more effectively.Position Summary:The Operations Coordinator will report to the VP Operations and play a critical role in supporting operational execution across multiple functional areas, including Account Management, Operations, Business Intelligence and Data, Regulatory Affairs, People & Culture, Leadership Cross-Functional Initiatives.This role is designed for someone who is highly organized and analytically curious.We are not looking for someone who simply completes administrative tasks manually. We are looking for someone who actively identifies opportunities to improve efficiency, streamline workflows, introduce structure, leverage AI, technology, and operationalizes scalable processes across the company.The successful candidate will coordinate strategic meetings, on-site initiatives, establish business reporting, and visibility into operational priorities, and serve as an operational change champion through the organization's continued growth.What you will be doing:Operational Coordination & Execution:Coordinate recurring all-staff, cross department and leadership meetingsPrepare agendas, coordinate guest speakers, meeting materials, action trackers, and follow-up documentationCoordinate on-site meetings, development workshops and logisticsEstablish scalable KPI,
deliverable and progress tracking framework across WCPG to ensure key stakeholders are informedSupport leadership execution priorities and operational follow-throughIdentify opportunities where WCPG can execute operational consistency across departmentsProcess Improvement & Operational Efficiency:Integrate new employee assets, company SOPs, contracts, templates into a WELLSTAR Clinical Platform Group operational frameworkIdentify manual or high friction workflows that can be improved with measurable outcomesSupport standardization WCPG operational processes, onboarding, business data insights and documentationEstablish a framework platform to accelerate team coordination, communication, and accountability processesSupport implementation of scalable operational systems and toolingReporting & Analytics SupportSupport KPI tracking and operational reportingMaintain and improve operational dashboards and trackersAssist with Excel- and Power BI-based reporting initiativesSupport data organization, cleanup, and reporting workflowsHelp operationalize recurring reporting processes to reduce manual effortHelp operationalize recurring reporting processes to reduce manual effortCross-Functional CoordinationSupport communication and coordination across operational teamsHelp facilitate alignment between departments and leadership stakeholdersSupport special projects and operational initiatives as requiredEnsure key priorities continue moving forward in a fast-paced environmentYou have:2–5 years of experience in operations, coordination, project support, business operations, analytics support, or similar rolesExperience working in fast-paced or growing organizations preferredHealthcare, SaaS, startup, consulting, or operational support experience considered an assetStrong organizational and coordination skillsAdvanced proficiency in Excel and/or Google SheetsExcellent written and verbal communication skillsStrong attention to detail and follow-throughAbility to manage multiple priorities and stakeholders simultaneouslyComfort working independently in dynamic environmentsPower BI experienceOperational reporting and dashboard experienceWorkflow/process improvement experienceFamiliarity with project management and tools (Monday.Com, JIRA)Exposure to AI tools, automation tools, or operational technology platformsWho Will Thrive in This Role:The ideal candidate is:Highly accountableExecution-orientedProcess-mindedOrganized under pressureResourceful and solutions-focusedComfortable with ambiguityNaturally proactive, curious and interested in improving how organizations functionThis role is ideal for someone who enjoys:Building structureSupporting leadership prioritiesCoordinating moving piecesMaking operations more efficient and scalableWhat Success Looks Like:Meetings cadences run smoothly and consistentlyWCPG operational visibility and accountability increases and is measurableBusiness insights and reporting becomes available, streamlined and scalableManual processes are reduced over timeTeams experience stronger coordination and communicationOperational complexity becomes easier to manage as the organization growsThe salary for this position falls within a defined range and will be determined based on several factors, including the candidate's experience, qualifications, skills, and the needs of the organization.
