Adams Lake Indian Band is seeking Executive Assistant to Chief and Council to work under the direction of the Adams Lake Band's Chief Operations Officer or designate. The individual's main responsibility will be to manage schedules and calendars, meetings, and travel for Chief and Council. The Executive Assistant will act as an extension of C&C emails and general communication by prioritizing responses. The EA will support senior executives, be an expert communicator and organizer, and be able to work at a high level of professionalism.ESSENTIAL FUNCTIONS AND RESPONSIBILITIESPerforms all duties and responsibilities in accordance with Adams Lake Indian Band policies and proceduresCalendar and schedule management for Chief and Council or executive level meetingsPrioritizes communication, emails, and messagesPrepare budgets, reconcile, and track related income/expensesGeneral applications for eventsPreparation of meeting agendas, taking meeting minutes and meeting minute distributionPresentation preparation and coordinationSetting up meeting events, including venue organization, scheduling and support servicesProofreading communications and reportsGeneral administrative duties as requiredPerforms other duties as requiredQUALIFICATIONS, KNOWLEDGE, AND SKILLSPost secondary degree or Diploma in Business Administration or similar field5+ years of experience in an Executive Assistant role, supporting VP level or aboveProven success in prior comparable roleProven ability to work well under pressure, prioritize tasks and meet deadlinesMust be able to work in a team,



and independentlyThe ability to anticipate needs and requirementsAttention to detailMust be able to manage confidential informationFlexible to attend events if requiredExcellent customer service mindset and the ability to deliver to a high standard of competenceSUPERVISORY RESPONSIBILITIESN/APHYSICAL DEMANDSThose normally associated with a typical office environment.WORKING CONDITIONSMajority of work is performed in a typical office workplace. Some travel may be required.EQUIPMENT AND SOFTWAREOffice – Microsoft Word, Excel and OutlookOTHER REQUIREMENTSValid Class 5 BC Driver's License (copy)BONA FIDE JOB REQUIREMENTSCurrent Criminal Record Check with vulnerable sector clearance, with results acceptable to ALIB.TERMS OF EMPLOYMENT:Full time permanent positionWage range: $28 - $40 per hour determined based on education and experience.Hours per week: 75 hours bi-weekly (max 37.5 hrs./week), with flexibility in hours/days of work.WHY US?We offer a comprehensive benefits package, including a defined contribution pension scheme, health, vision, and dental coverage, LTD, AD&D, and life insurance and an employee assistance program.
