Full-Time Bilingual (English and Spanish) Office Administrator
Position: Full-time Bilingual Office Administrator - London South Catholic Family of Parishes
Primary Work Location: 855 Jalna Blvd, London, Ontario
Commitment: 30 hours per week. Normal working hours will be Monday to Friday 9:00 a.m. to 4:00 p.m. Periodic variations in the schedule will be determined in consultation with the Business Manager or Pastor to meet business needs.
Compensation: Expected wage range: $22.54 to $26.00 per hour. Placement within this range is commensurate with relevant industry experience, qualifications (education, skills) and/or skilled designations. This position is eligible for participation in the DOL’s lay staff benefits and pension plans. Three (3) weeks of paid vacation annually.

POSITION SUMMARY:
Reporting to the Business Manager, the Office Administrator is responsible for professionally and courteously welcoming and assisting all individuals who contact the parish office, whether in person, by phone, or by email. The Office Administrator provides clerical and administrative support to the Pastor, Priests, and the Family of Parishes Team. This position also supports and coordinates parish communications in both English and Spanish, including preparing and distributing announcements, posters, flyers, and digital communications through platforms such as Flocknote, social media, email, and the parish website.
Fluency in both English and Spanish is required, including the ability to communicate effectively, both verbally and in writing, in each language.
SUMMARY OF DUTIES:
- Assist with sacramental registration and the preparation and issuance of certificates in coordination with the Pastoral Minister.
- Update and maintain the parish website.
- Create Spanish and English promotional materials, including posters, flyers, and other communications.
- Coordinate parish communications through Flocknote, social media, weekly bulletins, and other digital platforms.
- Answer phone inquiries and direct calls to the appropriate individual(s).
- Greet and welcome parishioners, visitors, and all walk-ins.
- Process Mass requests and accurately record related information.
- Accept, sort, and distribute mail and deliveries.
- Monitor and maintain appropriate inventories of liturgical and office supplies.
- Maintain supplies of forms required to support the church's day-to-day activities.
- Maintain an organized filing system for parish records, information, programs, and related documentation.
- Provide photocopying services for walk-ins as needed.
- Assist with funeral planning support and related communications.
- Support clergy and co-workers with administrative tasks as assigned by the Business Manager.
- Other duties of similar nature as assigned by the Business Manager.
QUALIFICATIONS AND REQUIREMENTS:
- College diploma in Business, Office Administration or a related field of study and/or a minimum of two (2) years related experience.
- Fully bilingual (read, write and speak) in both Spanish and English, with excellent professional verbal and written communication skills, including the ability to interpret detailed information, prepare professional correspondence and reports,
and communicate effectively with parishioners, volunteers, clergy, staff, and other professional audiences.
- Ability to maintain strict confidentiality and handle highly sensitive personal information with discretion and professionalism.
- Proficient in the latest versions of Microsoft Office 365 including Microsoft Word, PowerPoint, Excel, etc.
- Excellent interpersonal and organizational skills.
- Resourceful self-starter with thorough attention to detail and a desire to produce quality projects and results.
- Collaborative, supportive, flexible team player with a high degree of initiative.
- Have a faith-based understanding and appreciation of the Catholic Church and the Diocese of London, its tenets and culture, along with a deep respect for its leadership, clergy, and parishioners.
- Professional representative of the Diocese of London at all times, with an understanding of and desire to support and promote the mission of the Diocese of London.
A police record check as deemed suitable by the Diocese of London will be required of the successful candidate.
