ABOUT THE ROLE
We are seeking an experienced, senior-level Executive Assistant to support two founders in a fast-paced, entrepreneurial environment. Our founders operate with an unstructured working style — moving quickly between priorities, thinking out loud, and adapting plans in real time. You are the Air-Traffic Controller - you bring structure and calm to that pace without slowing it down.
The ideal candidate is a seasoned operator who takes full ownership of the administrative function so our founders can focus on strategic decision-making and growth. Success in this role is measured simply: the founders' week runs smoothly, regardless of how unpredictable the day becomes.
WHAT YOU’LL OWN
- Calendar, Inbox & Time Management: Take ownership of calendars and inboxes to proactively resolve scheduling conflicts and protect time for high-priority strategic work, allowing the founders to focus on growth.
- Communication & Gatekeeping: Serve as the primary point of contact for internal and external stakeholders. Maintain composure under pressure, exercise judgment on prioritization, handle sensitive information with discretion, and draft communications on the founders' behalf.
- Meeting & Travel Coordination: Manage end-to-end logistics, including preparing briefing materials and agendas. Proactively anticipate scheduling conflicts and ensure all follow-up items are tracked to completion.
- Project & Event Coordination: Apply project management rigor to team initiatives and events. Manage timelines, dependencies, and moving parts to ensure execution through fast-changing priorities.
- Research & Decision Support: Provide research and information gathering to surface relevant context, helping the founders make timely, well-informed decisions.
- Office & Team Support: Maintain a positive, functional office environment by managing day-to-day logistics, from supplies to culture initiatives—no task is considered too small to keep the team running smoothly.
WHAT YOU’LL BRING
- 5+ years of experience as a Senior Executive Assistant or in a comparable role supporting founders or senior executives, ideally within a startup or high-growth environment
- Solid project management skills — proven ability to manage multiple concurrent projects, timelines, and priorities with minimal oversight
- Assertive and confident — comfortable setting boundaries and gatekeeping on the founders' behalf
- Proactive by nature — able to anticipate needs before they are voiced and act decisively without waiting for direction
- Highly organized, with strong judgment on prioritization amid shifting demands
- Excellent written and verbal communication skills; capable of representing the founders professionally
- Comfortable operating with ambiguity and building structure independently
- Trustworthy with confidential and sensitive information
- Hands-on and adaptable — equally comfortable managing an executive's calendar and ordering lunch for the office
