We are seeking an experienced and highly organized Legal Assistant to support a busy practice focused on securities, corporate finance, mergers and acquisitions, corporate governance, and commercial transactions. The successful candidate will play an integral role in managing files, coordinating transaction closings, and ensuring exceptional client service.
RESPONSIBILITIES
- Draft, prepare, format, and proofread correspondence, accounts, transactional documents, and other legal forms and materials.
- Coordinate securities and corporate transaction closings, including assembling closing books and execution packages
- Respond promptly to client inquiries, conduct appropriate follow-up, and keep lawyers informed of client interactions during their absence.
- Process incoming and outgoing mail and correspondence, maintain email accounts, and manage bring-forward systems.
- Coordinate appointments, meetings, conference calls, and meeting room bookings.
- Maintain and organize client files, both electronically and in hard-copy format, in accordance with firm procedures.
- Assist with document management, file openings, conflict checks, and other administrative tasks as required.
- Perform other duties as assigned.
QUALIFICATIONS
- Legal Assistant Diploma from an accredited post-secondary institution.
- Minimum of three (3) years of legal assistant experience, preferably in corporate, commercial, securities, corporate finance or business law.
- Strong proficiency in Microsoft Office applications, including Word, Outlook, Excel, and PowerPoint.
- Experience supporting mergers and acquisitions or corporate transactions is considered a strong asset.
- Experience with Elite and document management systems is considered an asset.
- SEDAR experience required.
- Excellent organizational, follow-up, proofreading, and accuracy skills, with exceptional attention to detail.
- Demonstrated ability to take initiative and work independently while exercising sound judgment and seeking guidance when appropriate.
- Proven ability to manage multiple priorities and deadlines in a fast-paced, high-volume environment.
- Strong client service orientation and commitment to building positive professional relationships.
- Excellent verbal and written communication skills.
- Flexibility to work overtime on occasion to meet client and business needs.
