What You'll Do
The Project Coordinator provides critical office-based support for residential renovations, infill builds, and service projects. This role is responsible for scheduling, coordination, documentation, and reporting to ensure projects run efficiently from pre-construction through completion. Working closely with Site Supervisors (SS), Project Managers (PM), and the Construction Manager (CM), the Project Coordinator helps keep projects on track, clients informed, and teams aligned—while upholding Ackard’s standard of treating all customers, employees, suppliers and trade partners with honesty, fairness and respect at all times.

Scheduling & Planning

Maintain and update project schedules in Buildertrend based on direction from the CM and SS

Arrange client meetings at the request of the SS

Confirm sub-trades a minimum of two weeks in advance

Schedule Q&A;, framing rough-in and pre-possession inspections as requested by the SS and adjust as required if sites are not ready

Schedule and confirm completion of Quality Control Inspections and Pre-Possession Inspections (PPI)

Coordinate delivery and removal of material orders, disposal bins, portable toilets, and temporary fencing as directed

Project Coordination & Administration

Ensure client needs are addressed in a timely, within-scope, and cost-effective manner

Ensure job binders and digital project folders are complete and current

Coordinate utilities management and shutoff modifications

Issue Purchase Orders (POs) as directed and ensure field-issued POs are approved and signed off by the PM

Assist with creating, managing, and tracking Change Orders (COs), including receiving sign-offs by the SS/PM

Assist with the coordination of material and equipment deliveries as requested by the SS and signed off by the PM

Apply for, track, and manage permits and locates,



including follow-ups and daily logs

Ensure RFIs and material orders are complete and placed with Estimating

Ensure work orders are complete and sent to production staff

Forward site walkthrough quotes and project-related pricing requests to Estimating

Request and follow up on required information, advising the SS/PM if information cannot be obtained

Reporting & Communication

Maintain accurate, up-to-date project information and schedules in Buildertrend

Complete weekly manpower reporting

Track action items and follow up with PMs and Site Supervisors to ensure timely resolution

Conduct pre-start cross-checks of job information and review outstanding items with Site Supervisors

Perform Purchase Order information checks

Provide Site Supervisors with weekly confirmations of scheduled and approved items

Provide clients with weekly project updates

Notify Accounting and clients of progress billing dates through the Buildertrend calendar

Ensure clear and accurate communication of project information to clients and the PM, and proactively advise the PM/CM of project status and issues that may affect the client relationship

Request Substantial Completion notices and ensure they are ready for posting on site

Provide Accounting with Substantial Completion dates

Compile job review notes to capture successes, lessons learned and opportunities for improvement

Team Collaboration & Additional Duties

Participate in regularly scheduled staff meetings, weekly Production (Construction) meetings, warranty and service meetings

Accept coaching and direction from the production team and the PM & CM

Work collaboratively across teams, driving work forward while respecting others’ timelines and workflows

Other duties as assigned

What You Bring

Minimum 2 years of experience in a project coordination or similar role

Exposure to residential construction workflows

Solid understanding of project coordination and project management fundamentals

Intermediate to advanced proficiency in Microsoft Office (Excel, Word, Outlook)





Solid verbal and written communication skills

Highly organized with a strong focus on follow-up and follow-through

Ability to work effectively within a team while remaining adaptable and adaptable to changing priorities

Ability to maintain professionalism and composure in a fast-paced, constantly evolving environment

Comfortable learning new software and prefers working in digital systems over paper-based processes

Project Coordination courses are an asset

Working Conditions

Primarily office-based with regular computer use; involves sitting for extended periods while working on design software, emails, and documentation

Standard weekday hours with some flexibility to meet project deadlines or attend client meetings
