You might be exactly who we’re looking for.
The Saugeen Shores Hospital Foundation is looking for an Administrative Assistant to join our small, busy and very hands‑on team. This is not a role where every Tuesday looks exactly like the Tuesday before it. This is a role for someone who likes being the person others can count on.
What You’ll Do
At the heart of this position is keeping the day-to-day operations of the Foundation organized, accurate and moving forward.
You’ll work closely with the Executive Director and become an important part of keeping the Foundation running smoothly.
Your responsibilities will include:
- Providing day-to-day administrative support and helping manage the many details that keep a busy Foundation office moving
- Processing incoming donations and payments accurately and efficiently
- Preparing bank deposits and completing routine banking
- Receiving and organizing invoices, preparing payments and maintaining accurate records for our external bookkeeping support
- Entering and maintaining donor information in our donor database
- Pulling weekly reports and helping us keep an eye on donor activity, follow‑ups and stewardship opportunities
- Preparing letters, receipts, mailings, labels,
reports and other donor communications
- Helping keep files, records, calendars, lists and internal processes organized
- Supporting annual events and taking the lead on specific pieces of event planning and coordination throughout the year.
Who We’re Looking For
You will need to be organized, dependable and comfortable taking ownership of your work.
You’re likely a great fit if you:
- Have strong administrative and organizational skills
- Are comfortable working with numbers and have some experience with invoices, payments, banking, deposits or similar financial administration
- Are confident using Microsoft Office,particularly Excel, Word and Outlook. Experience with Quickbooks an asset.
- Are comfortable learning databases and current technology
- Have excellent attention to detail and take accuracy seriously
- Can manage multiple priorities without losing track of the little things
- Are comfortable working independently and figuring out the next step
- Communicate professionally and warmly with donors, volunteers, businesses and community members
- Understand that donor information is confidential and should always be handled with care
- Are the kind of person who follows through
- Aren’t afraid to say, “I’ve got it.”
Experience with donor databases, CRM systems, event coordination or charitable organizations would be an asset,
but we’re equally interested in finding someone with the right combination of skills, judgment and attitude.

Over time, we want this person to become a trusted right hand who knows what’s happening, what’s coming up and what needs attention.

This is a four-day-per-week position based with the Saugeen Shores Hospital Foundation in Southampton, Ontario. Some flexibility to sometimes work from home.
There may be an opportunity for the position to grow to five days per week in the future.
Occasional evening or weekend availability will be required to support Foundation events, with advance notice whenever possible.
