The Opportunity Leavitt Machinery is looking for a customer-oriented

Branch Administrator

to join our team in

Kitimat, British Columbia . As the Branch Administrator, you will be responsible for greeting and directing customers and branch visitors in a professional and friendly manner, both in person and over the phone. This role will also provide administrative support for branch operations, including coordinating purchase orders, tracking invoices, and supporting our relationship with key customers and vendors.

As the Branch Administrator, your key responsibilities will include:

Managing branch reception duties, including answering phone calls, collecting information, and directing walk-in visitors

Coordinating shipments and interoffice mail, and supporting the Parts department as necessary

Ordering and maintaining office supplies and marketing items

Tracking invoices and following up with vendors on outstanding payments and purchase order requirements

Managing and reconciling the Rio Tinto PO Tracker, including monitoring purchase orders,



tracking invoices, identifying and communicating exceptions, and proactively following up with PO owners as required

Assisting Service Dispatchers with the coordination of service jobs for Technicians

Entering safety data into the filing system and accurately maintaining safety records

Completing expense reports and providing administrative support to various departments including Sales, Rentals, Parts, and Service

Managing and reconciling branch petty cash

Supporting accurate and timely documentation and communication related to customer purchase orders and accounts

Required Skills & Qualifications The ideal candidate will possess the following skills, knowledge, and competencies:

Previous reception or customer service experience

Experience with purchase order tracking, invoice administration, or vendor coordination is considered an asset

Strong computer skills and proficiency with MS Office Suite (Word, Excel, Outlook)

Excellent verbal and written communication skills

Excellent organizational skills, planning skills, and multitasking ability

Strong interpersonal skills and a customer-oriented mindset,



including the ability to work with internal and external customers at all job levels

Excellent attention to detail and the ability to accurately track and reconcile informationStrong ability to proactively identify discrepancies or exceptions and follow up to resolution

Experience with SAP Ariba or similar procurement systems is considered an asset

Confident self-starter and team player

The base pay range for this role is: $44,000 to $49,500 per year depending on experience.
