Halton Children’s Aid SocietyJOB POSTING # 05-26 - RepostRecords AssistantPOSITION TYPE:One (1) Regular, Full Time PositionEMPLOYEE GROUP:CUPE Local 2501Band 3SALARY RANGE:$56,132.48 to $61,565.50DEPARTMENT:Records ManagementREPORTS TO:Senior Manager, Legal ServicesPOSTING DATE:September 2, 2026POSTING DEADLINE:POSTING TYPE:Existing PositionReporting to the Senior Manager, Legal Services, this position is responsible for the coordination and organization of the Society’s paper and electronic records management.Main duties and responsibilities include, but are not limited to:Coordinates the records management system dealing with both paper and electronic records, and other file typesWorks with Supervisor to create and implement Policies and Procedures related to records managementIdentifies and recommends procedures for continual improvement of the effective life-cycle management of the Society’s information assetsWorks with departments on the management of their records and informationFollows a corporate records classification system for both electronic and paper recordsCreates support and guide documents related to the position.Provides administrative support to SupervisorDesigns and organizes the historical records file room.Digitizes and migrates content into CPINCompletes person searches in CPIN and identifies appropriate person record for use in caseIdentifies, marks and merges duplicate person records in CPIN.Receives and processes initial stage of record requests, including opening Intake Case in CPINPrepares files for Disclosure Assistants as requiredPerforms other duties as assigned which are directly related to the major reponsibilities of the position.Knowledge, Education, Experience, Skills and AttributesQualificationsSecondary School Diploma, office Administration Diploma considered an asset.Strong analytical and problem solving skillsExcellent oral and written communication skillsExcellent computer skills with proficiency in Microsoft Office Products, knowledge of the Child Protection Information Network (CPIN) and proficiency in CPIN searching.The ability to maintain confidentiality is essentialGeneral Skills and AttributesKnowledge of the Child Welfare Sector considered an assetStrong attention to detailProfessional, approachable and customer-service orientatedStrong problem solving skills with the ability to demonstrate diplomacy under pressureSolid planning, time-management,
