Office Administrator
to join our
Mount Pearl
team. Reporting to the Branch Manager, this role will provide administrative and operational support to the Mount Pearl branch, with a particular focus on service administration, customer support, safety compliance, warranty and equipment registrations, and general office coordination. This position is ideal for an organized, detail-oriented individual who enjoys working in a quick-paced environment and supporting multiple areas of the business.
Responsibilities
Provide day-to-day administrative support to the Mount Pearl branch, including answering calls, responding to inquiries, maintaining customer accounts and coordinating office requirements. Provide administrative support to the Service Department, including processing service orders, estimates, purchase orders, customer purchase orders, and related documentation in NetSuite. Coordinate service-related requirements including travel, accommodations, equipment shipments, materials, and other job-related arrangements, while supporting technicians and service staff as required. Coordinate and maintain service contracts, equipment registrations, warranty claims, and close-out documentation, including Kohler and MAN registrations and warranty submissions. Maintain accurate records and documentation for completed jobs, including equipment registrations, manuals, and customer documentation. Support branch and company-wide safety initiatives, including maintaining safety records, training matrices, manuals, inspections, and compliance documentation.
Assist with COR certification audits and maintain required WHSCC, insurance, and other safety and compliance documentation, including online platforms such as Avetta and CBRE. Monitor tender opportunities and assist with the preparation and submission of tender packages, including gathering documentation and preparing costing spreadsheets. Maintain office supplies, coordinate building maintenance, and organize staff meals, training sessions, and branch events. Coordinate inventory transfers between branches and maintain related vehicle, trailer, tools, uniform, and other tracking records. Maintain and update internal spreadsheets and administrative tracking systems to ensure accurate and up-to-date information. Provide general administrative and operational support to the Branch Manager, Service Manager, and other branch personnel as required. Qualifications
Post-secondary education in Business Administration, Office Administration, or a related field would be considered an asset 2–5 years of experience in an administrative, office coordination, service administration, or similar role Strong organizational skills with exceptional attention to detail Excellent written and verbal communication skills Ability to manage multiple priorities and meet deadlines in a fast-paced environment Strong problem-solving skills and the ability to work independently Ability to work collaboratively with service technicians, management, customers, vendors, and other branch personnel What We Offer
