Role: Recruitment Coordinator
Contract Duration: 2026-09-21 - 2027-03-20
Work Location: Dunsmuir, BC – Hybrid (2 days in office)
Possibility of Extension: Yes, depending on workload and performance
Max T4 Rate: $26.42/
Role Overview The Recruitment Coordinator-L1 provides administrative and recruitment coordination support throughout the applicant screening, selection, and hiring process. The role works closely with Recruitment Partners, hiring managers, candidates, and other stakeholders to coordinate interviews, recruitment workflows, compliance activities, candidate testing, background checks, and start dates. The successful candidate will be highly organized, detail-oriented, and comfortable managing high-volume recruitment processes and multiple priorities in a fast-paced workplace.
Key Responsibilities
- Maintain explicit and timely communication with Recruitment Partners, hiring managers, candidates, and internal teams.
- Coordinate and schedule interviews, assessments, testing, and recruitment activities.
- Post, refresh, update, and remove job postings across online and print platforms.
- Conduct initial candidate screening using established scripts and provide feedback to Recruitment Partners.
- Support posted and non-posted recruitment and hiring processes.
- Verify candidate eligibility and time-in-role requirements.
- Coordinate background checks, reference checks, medicals, testing, and other pre-employment requirements.
- Arrange candidate travel and process related reimbursements.
- Communicate test and medical results and coordinate start dates.
- Maintain accurate recruitment records, spreadsheets, and applicant tracking system data.
- Provide regular recruitment updates to support hiring decisions.
- Assist with sourcing and building candidate pipelines for specialized roles.
- Develop and maintain interview questions and recruitment resources.
- Respond promptly to candidate inquiries and provide follow-up.
- Serve as the primary recruitment contact in the Recruitment Partner's absence.
- Support candidate selection grievance responses.
- Contribute to recruitment process improvements and workflow standardization.
- Perform other related duties as required.
Required Qualifications and Skills
- Certificate or Diploma in Human Resources or a related field.
- CPHR designation is an asset.
- Experience using applicant tracking systems (ATS) or recruitment software.
- Experience coordinating interviews and supporting high-volume recruitment.
- Strong administrative, organizational, prioritization, and time-management skills.
- High attention to detail with accurate record-keeping abilities.
- Experience with invoicing and maintaining high-volume administrative records.
- Experience coordinating background checks, compliance, or pre-employment processes.
- Advanced Excel/spreadsheet skills with the ability to manage high-volume data.
- Excellent written and verbal communication skills.
- Robust stakeholder management and customer service abilities.
- Ability to manage multiple priorities in a fast-paced environment.
- Able to work independently and collaborate with cross-functional teams.
- Advanced English proficiency, including professional writing, verbal communication, facilitation, and presentations.
