ABOUT THE UPPER GRAND DISTRICT SCHOOL BOARD (UGDSB)

THE OPPORTUNITY
The UGDSB is seeking a dynamic individual to join our team for a permanent full-time opportunity in the capacity of Executive Assistant to the Superintendent of Education.

Location: Guelph Board Office (500 Victoria Rd. N, Guelph, ON)

FTE and Hours: 1.0 FTE; 35 hours per week

Hourly Pay Rate : $32.72 - $39.90 per hour, plus applicable vacation pay in accordance with the ESA; wage rate effective September 1, 2025

Start Date: As soon as possible

Board Information: 12-month position; permanent; full-time; Office, Clerical and Technical (OCT) Union

Reporting to the Superintendent of Education, the responsibilities of the Executive Assistant to the Superintendent of Education are as follows:

Responsibilities:
This position will be responsible for performing administrative support for the Superintendent of Education, including but not limited to:

Responding to both internal and external inquiries regarding elementary and secondary schools

Communicate and coordinate regularly with Principals, Office Co-ordinators and board personnel from various departments

Problem solving with respect to elementary and secondary school issues that arise

Respond promptly to inquiries and parental / guardian or school concerns by providing support, relevant information,



or corresponding with appropriate persons or departments to find a solution.

Having an awareness and understanding of school operations and the various elements that go into decision making, including relevant policies, processes, or protocols, with initiative to seek information that may be relevant or appropriate to a situation.

Booking venues and scheduling speakers or/and coordinating events with attention to financial and time constraints

Budget reconciliation and monitoring

Composing correspondence and reports

Establishing and maintaining a tracking and monitoring procedure for a variety of reports

Organizing agendas and backup material, attending meetings and preparing minutes (*some meetings may be after hours meetings to accommodate parent / guardian schedules)

Collaborate with and contribute to the Executive Assistant team in a flexible manner that supports priorities or needs as they arise.

Demonstrate excellent interpersonal skills to meet and respond tactfully and effectively with board employees and the public

Other duties as assigned

Experience and Qualifications:

O.S.S.D (Ontario Secondary School Diploma) or equivalent

Excellent computer skills including but not limited to Microsoft Office, SDS, School Cash and EDSEMBLI and ability to use a variety of computer applications

Ability to draft written responses on behalf of the Superintendent to a variety of stakeholders

Working knowledge of board policies and procedures

Excellent organizational, multi-tasking and record-keeping skills

Knowledge of the functions and key personnel of all departments and units of the board

Demonstrated ability to learn new tasks and to work with a minimum of supervision

Demonstrated ability to adhere to confidentiality at all times

Demonstrated ability to work effectively under strict timelines with accuracy

Demonstrated ability to function well under pressure

Proven ability to collaborate with others in a skilled, respectful, equitable and inclusive manner .

Minimum of 5 years of experience as a school Office Co-ordinator and/or relevant work experience as deemed equivalent by the Board
