Job Overview
Our client is a well-established public accounting firm in Burnaby, BC. The firm serves clients across a wide range of industries, from smaller owner-managed businesses to larger multi-company organizations, and provides accounting, tax, assurance, and advisory services.
We are recruiting a friendly, proactive, and detail-oriented Administrative Assistant to join the firm's administrative team. This role supports partners, managers, the client services team, and fellow administrators in producing accurate and timely professional client deliverables and keeping day-to-day office processes running smoothly. The successful candidate will receive the training and ongoing support needed to succeed.
Duties
Client deliverables and document production
- Prepare, edit, proofread, format, and distribute client invoices, correspondence, reports, letters, and other documents in accordance with the firm templates, processes, and standards.
- Assemble and finalize client deliverables, including financial statements, personal and corporate tax packages, information slips, resolutions, letters, and related materials.
- Review document packages for accuracy, completeness, presentation quality, and compliance with firm policies before release.
- Coordinate with accounting staff, managers, and partners to obtain and handle records and complete client packages on schedule.
- Support authorized electronic filings, which may include personal or corporate tax returns and GST filings.
Administration, systems, and records
- Maintain computerized time and billing systems and provide related billing support.
- Maintain accurate electronic and paper client files, and support new-client setup and onboarding.
- Upload and retrieve information through cloud-based storage and secure file-sharing systems.
- Produce and update internal reports and maintain information in firm databases or client relationship management systems.
- Participate in training and stay current with evolving software, workflows, and firm procedures.
Client and office support
- Provide day-to-day administrative support to partners, managers, the client services team, and other admin team members.
- Coordinate incoming and outgoing mail,
courier deliveries, filing, scanning, photocopying, and other general office processes.
- Order and maintain office supplies, assist with office equipment, and support general office upkeep.
- Take on additional projects and administrative assignments as business needs change.
- Provide front-desk and reception support as needed, including greeting visitors, beverage service and cleanup, telephone and email coverage, and coordinating mail and couriers.

Technical qualifications
- Advanced proficiency with Microsoft Word, Excel, and Outlook.
- Strong Word-processing skills, including styles, tables, mail merges, headers and footers, section breaks, margins, and inserting and formatting objects.
- Comfort using standard office equipment such as scanners, multifunction devices, photocopiers, and postage or courier systems.
- Experience with Adobe Acrobat.
Experience
- High school diploma required.
- At least 2 years of administrative or professional office experience in a public accounting firm, or other professional services environment is required.
- Experience in a paperless office is an asset.
- Familiarity with accounting terminology and common documents, including the ability to understand financial statements and recognize terms and filings such as T2 corporate tax returns, T4 slips, and related client deliverables.
- Experience with one or more of Caseware, Taxprep, CCH iFirm is an asset.
Position details
- Permanent, full-time, Monday-to-Friday (37.5 hrs/week)
- Flexibility to work overtime during peak periods is required.
- Initially, an in-office position in Burnaby to support onboarding, training, and integration with the team.
- Once the successful candidate is fully established in the role, a partial work-from-home arrangement may be discussed, where it meets role requirements, and business needs.

Pay: $65,000.00-$80,000.00 per year
