Executive Assistant
Riverview Health Centre Foundation is looking for a caring, highly organized and technologically savvy skilled to join our small but mighty team as our Executive Assistant.
This multifaceted role is ideal for someone who enjoys being at the centre of an organization - supporting the Executive Director and Board of Directors, coordinating office operations, and ensuring donations and donor information are handled accurately, efficiently and with care.
This is a full-time position for an initial one-year term, with the possibility of renewal for a total term of up to three years. The position is 35 hours per week.
Position Summary
Reporting to the Executive Director, the Executive Assistant provides confidential administrative support to the Executive Director and Board of Directors and plays a central role in coordinating the Foundation’s office, governance and donor administration.
The position is responsible for executive scheduling and correspondence, Board and committee administration, office coordination, donor and gift data entry, charitable tax receipting, and donor correspondence.
The Assistant ensures that information is accurate, administrative follow-up is completed, donations are accurately recorded in Raiser’s Edge, and donors and stakeholders receive timely and professional service.
As a trusted member of a small team, the Assistant must exercise discretion, sound judgment and initiative when handling confidential donor, Board, employee and organizational information.
Key Responsibilities
· Provide confidential administrative support to the Executive Director, including calendar and meeting management, correspondence, travel arrangements, briefing materials, deadline tracking and follow-up.
· Communicate with Board members, donors, Riverview Health Centre leaders, community partners and other stakeholders on behalf of the Executive Director.
· Coordinate and attend all Board and committee meetings, including scheduling, logistics, agendas, meeting packages, minutes,
action-item summaries and administrative follow-up.
· Maintain complete and accurate governance records, including minutes, policies, bylaws, committee documentation, director information and historical records.
· Coordinate Board recruitment, onboarding, orientation, departures and Annual General Meeting administration in collaboration with the Executive Director and Board Chair.
· Oversee daily office administration, including the main telephone line and email inbox, mail, supplies, purchasing, filing systems, meeting arrangements, contact lists and coordination with vendors and Riverview Health Centre departments.
· Enter and maintain donor and gift information in Raiser’s Edge NXT, including donor contact information, gift amounts, dates, designations, campaign coding, recognition preferences and supporting documentation.
· Process charitable tax receipts, acknowledgment letters and tribute notifications in a timely manner, and retrieve copies of tax receipts and donor documentation when requested.
· Review donation notifications and supporting documentation to identify gifts that may be missing, unmatched or incomplete in Raiser’s Edge.
· Draft and coordinate donor acknowledgment, stewardship, impact, tribute and milestone letters, as well as donor mailings, invitations, cards and other communications.
· Prepare donor lists, mailing lists, labels, mail merges, database reports and other administrative materials.
· Support Foundation events and activities as directed, including occasional evening or weekend commitments.
Experience & Qualifications
· Post-secondary education in office administration,
business administration, nonprofit management, communications or a related field is preferred. An equivalent combination of education and experience will be considered.
· At least two years of experience in an executive assistant, senior administrative, office coordination, governance or nonprofit support position.
· Experience supporting a senior leader and coordinating Board or committee administration is preferred.
· Strong written communication, editing and proofreading skills, including the ability to prepare professional correspondence and accurate meeting minutes.
· Excellent organizational and time-management skills, with the ability to manage multiple priorities and follow responsibilities through to completion.
· Demonstrated professionalism, discretion and sound judgment when handling confidential information.
· Strong proficiency with Microsoft 365. Experience with Raiser’s Edge NXT or another donor-management system is an asset.
· A proactive, service-oriented approach and the ability to work independently as part of a small, collaborative team.
