Overview
We are looking for an experienced, energetic, and highly organized Dental Administrator Lead to oversee the day-to-day operations of our modern, patient-focused dental practice. This leadership role is ideal for someone who thrives in a fast-paced environment, enjoys mentoring a team, and is passionate about delivering an exceptional patient experience.
The Dental Administrator Lead will oversee front office operations, support practice growth, manage administrative workflows, and work closely with the clinical team to ensure the practice operates efficiently and professionally.
Key Responsibilities
- Lead, coach, and support the administrative team to maintain a positive, productive workplace.
- Oversee daily scheduling, appointment management, and patient flow to maximize efficiency.
- Deliver outstanding customer service and resolve patient concerns professionally.
- Manage treatment estimates, insurance submissions, pre-authorizations, and accounts receivable.
- Process billing, payments, insurance claims, and financial arrangements accurately using Dentrix.
- Maintain accurate electronic patient records while ensuring compliance with privacy legislation.
- Coordinate recruitment, onboarding, staff training, scheduling, and performance reviews.
- Monitor office performance, productivity, and key practice metrics.
- Assist with budgeting, inventory management, purchasing, and expense control.
- Ensure compliance with all infection prevention, privacy, workplace safety, and regulatory requirements.
- Collaborate with dentists and the clinical team to improve workflows and enhance patient satisfaction.
- Support the implementation of new systems, policies,
and continuous quality improvement initiatives.
Qualifications
- Minimum 2-3years of dental administration experience, including leadership or supervisory responsibilities.
- Robust working knowledge of Dentrix (required).
- Excellent understanding of dental insurance, treatment coordination, billing, and accounts receivable.
- Experience supervising, coaching, and motivating a team.
- Strong organizational, problem-solving, and time-management skills.
- Excellent communication and interpersonal skills with a patient-first approach.
- Proficient with Microsoft Office and electronic health record systems.
- Experience with budgeting, reporting, and operational management is an asset.
- Knowledge of Ontario dental regulations, privacy legislation, and compliance standards is preferred.
