About Thunder Pride Association

Thunder Pride Association is a volunteer-led non-profit organization serving Thunder Bay and Northwestern Ontario’s 2SLGBTQIA+ community. Our mission is to advocate, educate, advance, celebrate, and create opportunities for 2SLGBTQIA+ people to live safely and openly as themselves.

We are looking for a dedicated and organized Volunteer Event Coordinator to help plan, coordinate, and support Thunder Pride events throughout the year, including Pride-related programming, community events, fundraisers, brunches, awareness events, and other organizational activities.

Position Summary

The Volunteer Event Coordinator helps turn event ideas into clear, organized, and achievable plans. This role supports the planning and execution of Thunder Pride events by coordinating timelines, volunteers, vendors, supplies, logistics, permits, schedules, and event-day needs.

This is a leadership volunteer position. The Event Coordinator is not expected to do everything alone. Their role is to organize the event process, assign tasks, communicate with the right people, track deadlines, and make sure event plans are moving forward properly.

Key Responsibilities

The Event Coordinator will:

- Plan and coordinate Thunder Pride events from early planning through event wrap-up
- Work with the Chair, Vice-Chair, Board, and department leads to ensure events align with Thunder Pride’s mission and goals
- Create event plans, timelines, task lists,



and day-of schedules
- Coordinate vendors, performers, speakers, partners, venues, and suppliers as needed
- Work with the Volunteer Coordinator to identify volunteer needs and ensure event roles are filled
- Communicate event needs clearly to the appropriate departments, including marketing, communications, sponsorship, finance, and volunteers
- Track event deadlines and make sure tasks are completed on time
- Bring major budget, logistical, safety, or programming changes to the Board for review and approval when required
- Ensure event details are documented and stored in the proper Google Drive folders
- Support event-day setup, operations, troubleshooting, and wrap-up
- Help collect post-event feedback, notes, and lessons learned for future planning
- Ensure events are organized, accessible, inclusive, and welcoming to the community

Ideal Candidate

The ideal person for this role is:

- Organized and able to manage multiple moving pieces at once
- Comfortable communicating with volunteers, vendors, performers, and community partners
- Able to stay calm when things change or issues come up
- Good at following timelines and keeping people on track
- Respectful, inclusive, and community-minded
- Comfortable working with a volunteer-led team
- Willing to learn Thunder Pride’s policies, procedures, and event systems




- Able to take direction while also showing initiative
- Passionate about supporting the 2SLGBTQIA+ community in Thunder Bay and Northwestern Ontario

Helpful Experience

Experience in any of the following areas is helpful, but not required:

- Event planning or event support
- Volunteer coordination
- Community organizing
- Non-profit work
- Customer service or hospitality
- Vendor or performer coordination
- Project management
- Pride, queer community, or advocacy work

Training and Support

The successful candidate will receive onboarding and access to Thunder Pride’s event planning documents, SOPs, templates, timelines, and internal systems. They will work with the Chair, Vice-Chair, Board, and other department leads to understand the organization’s event process.

Required organizational training may include items such as cultural sensitivity, accessibility, safety, privacy, volunteer expectations, or other training identified by leadership.

Time Commitment

This role is flexible but requires reliability. Time commitment will vary depending on the event season. During major event planning periods, especially leading up to Pride, more frequent check-ins and planning work may be required.
