Job Summary
The Receptionist at Nawican Friendship Centre is the first point of contact for visitors and is responsible for various front desk duties. This role includes greeting visitors, answering phones and emails, filing, assisting and referring clients, and supporting office operations.
KEY RESPONSIBILITIES
Front Desk Operations:
- Welcome and assist all visitors to the Centre with professionalism and warmth; lead front-desk coverage and general inquiries via phone, email, and in person
- Answer, screen, and forward calls; accurately record messages, referrals, and client statistics for tracking and case management purpose
Administrative Support:
- Perform office duties such as filing, photocopying, scanning, faxing, and archiving.
- Maintain physical and computerized records of NFC office policies, forms, memberships and procedures.
- Coordinate appointments, meetings, and room bookings; maintain and update shared calendars and reminders for staff.
- Compile and send out all outgoing mail, including email and fax, as requested.
- Keep track of and replenish office supplies inventory, prepare purchase orders, and research cost-effective pricing.
- Create and schedule engaging event posts using Canva for Facebook, while managing online inquiries and community interaction across social media platforms
Client Assistance:
- Assist with the distribution of food hampers, deliveries, giveaways, and care packages, coordinating pickup times with clients.
Occupational Health and Safety
- Organize and maintain physical and digital filing systems, including OHS policies, forms, and confidential records
- Monitor office inventory; research and order supplies,
ensuring cost-efficiency and timeliness
- Maintain up-to-date incident reporting systems and emergency contact lists; ensure first aid kits, fire extinguishers, and emergency exits are regularly checked
- Schedule safety and OH&S; meetings, send reminders, and record minutes; support workplace inspections and document safety concerns
- Ensure all visitors follow building safety protocols and sign in/out; keep the OH&S; bulletin board and safety notices current
- Track staff safety training, certifications, ergonomic assessments, and workstation adjustments; maintain accurate logs
- Coordinate with first aid staff and ensure first aid logs and emergency readiness tools are in place
- Provide administrative, operational, and safety-related support to the Executive Director and Finance Director as needed

Qualifications
- Grade 12 Diploma (or equivalent Adult Dogwood); post-secondary education an asset.
- Experience in a social services or community support role is preferred.
- Proficient with Microsoft Office Suite (Word, Excel, Outlook), Zoom, and cloud storage platforms (Dropbox, OneDrive, Google Drive)
- Familiarity with Indigenous service organizations and urban Indigenous communities
- Valid Class 5 Driver’s License and a clean Driver’s Abstract
- Clear and current Criminal Record Check (including Vulnerable Sector Check)
- Preference may be given to applicants of Aboriginal ancestry, per Section 41 of the BC Human Rights Code.
Work Conditions
- Nawican Bergeron Youth and Cultural Centre, Dawson Creek, BC
- Hours: Monday–Friday, 9:00 a.m. to 5:00 p.m. (37.5 hours per week)
- Occasional travel and flexible hours may be required.
