Please note: This position is event-based and requires regular evening and weekend work to support weddings and special events.

Key Responsibilities:

Sales

- Proactively solicit new business and create sales opportunities during client meetings, site visits, and events to drive future growth.
- Prepare accurate and detailed quotes based on client needs, ensuring clarity and alignment with their event vision and budget.
- Draft, manage, and finalize contracts, making sure all terms, services, and client expectations are clearly documented and agreed upon.
- Maintain thorough and organized records of all event details, changes, and communications to ensure seamless planning and execution.
- Think of new, unique, and creative ideas to attract and engage customers, enhancing brand visibility and reputation.

Customer Service

- Understand the requirements for each event and work directly with onsite clients.
- Communicate with clients to ensure details for events are accurate and complete.
- Responds to and handles guest problems and complaints.




- Ensure guest satisfaction after the event by asking for feedback.

Event Execution

- Plan, prepare and organize for onsite events.
- Record event information and customer communication on standard checklist.
- Communicate all relevant events details to other employees and involved departments to ensure all customer requirements are met.
- Manage and oversee events on the day of, including problem-solving, welcoming guests, directing event set-up, communicating with staff and organizing vendors (ex: caterers).
- Manage customer relationships throughout the event responding with a sense of urgency, as well as organizing arrangements as they relate to events i.e., set-up and execute.

Event Review

- Meet with Venue Manager and other staff to review the event contract and general plan

Billing

- Ensure billing accuracy by capturing all event details, including day-of-event requests and last-minute additions.
- Generate and send invoices promptly in accordance with company policies and contract terms.
- Process payments accurately and efficiently, ensuring proper documentation and record-keeping for financial reporting.

REQUIREMENTS:

- Adaptable schedule with the ability to work daytime hours Monday to Friday, evenings and weekends (to be available during events)
- Must possess a driver’s license in good standing and access to a vehicle.

QUALIFICATIONS

- Diploma or certificate in hospitality, event management or related field
- Minimum 1 years of experience in event execution.
- Understanding of process and dynamics.
- Experience on understanding event floor plans and layouts
- Knowledge of Room Set Ups
- Excellent customer service and relationship building with a high degree of professionalism and dedication
- Demonstrate strong interpersonal skills.
- Proficiency with computers
- Excellent verbal and written communication skills
- Detail-oriented and extremely organized
- Creative aptitude and understanding of event trends
- Tech-savvy and quick to learn new apps, software and online platforms
