Title: Coordinator,Finance
Department: Finance
Reports To: Director, Business Administration
Purpose: The Coordinator, Finance is responsible for supporting the Club's financial operations, with primary responsibility for the Accounts Receivable and Accounts Payable functions. The position ensures accurate and timely processing of financial transactions, reconciliations, payments, and collections, while supporting month-end and year-end processes, audits, system initiatives, and other financial and administrative requirements.
Key Accountabilities include, but are not limited to:
Accounts Receivable:
· Processes accounts receivable and revenue collection functions, including preparing, printing and posting invoices
· Performs transaction processing related to accounts receivable payments, revenue collection and bank deposits
· Review A/R credit requests
· Tracks and follows up on aged receivables and supports collection efforts in accordance with Club procedures
· Responsible for the reconciliation of A/R subledgers during the month-end close process
· Recommend improvements to quality of invoicing and collection procedures
Accounts Payable:
· Processes accounts payable invoices and expense claims for payment by matching and verifying with purchase orders, requisitions, packing slips, vendor statements and receipts and entering staff reimbursements
· Ensures accounts payable invoices and expense claims are accurate, properly coded, and authorized for payment
· Generates payments,
ensures EFT/cheques are authorized according to policy and distributed to payees
· Performs month-end close functions and reconciliations
· Maintains accurate and updated vendor information in the accounting system
· Diligently maintains financial information, files and records (e.g. copies of paid invoices, cheques, documentation, reimbursements, reports, vendor files, receipts, etc.) for the purpose of compliance
· Researches discrepancies in financial information and/or documentation for the purpose of ensuring accuracy and adhering to established procedures
Other Responsibilities:
· Works with external accountants to provide AR/AP samples requested during interim and annual review
· Prepares and schedule bank deposits
· Assists with administrative and financial requirements related to AGLC raffle licensing for the Elks Community Foundation.
· Coordinates with third-party raffle supervisors regarding winner verification, payment processing, and related administrative requirements.
· Works during ELKS home games, as required.
Skills & Abilities:
· Experience working in a general bookkeeping or accounting position specifically in the areas of accounts payable and accounts receivable
· Proficiency with Microsoft Office,
particularly Excel
· Experience working in a highly computerized environment and processing financial transactions using an enterprise resource planning (ERP) system and/or accounting software
· Experience working with a large number of transactions and in complex systems, requiring a high degree of speed, accuracy, and attention to detail
· Excellent communication (verbal and written), interpersonal, and customer service skills are required
· Ability to work independently, set priorities, and meet deadlines
· Ability to use independent judgment and discretion and organize workloads
· Proven integrity and professionalism when handling and maintaining confidential information and data
· Fosters a positive and collaborative team environment
· Able to work a versatile schedule, including nights and weekends
· Strong attention to detail and ability to identify and resolve discrepancies
Experience, Education and Training:
· Degree or Diploma in Accounting or related discipline
· Minimum of two years of experience with accounts payable and receivable
· Experience with and proficiency in accounting systems (including ERP) is highly desirable
· Experience with Sage Intacct is considered an asset but is not required.
