About the Role

Tang + Kung Real Estate Group is looking for an organized, proactive, and service-minded Administration, Operations & Client Care Coordinator to join our property management team.

This is a central coordination role combining three important areas:

Administration + Operations + Client Care

You will help ensure property records and documents are accurate, operational workflows continue moving, and landlords and tenants receive timely, professional, and caring communication.

We are looking for someone who doesn't simply complete the task in front of them. We want someone who naturally asks:

What is happening? What is outstanding? What is the next step? Who needs an update? How do we close the loop?

Key ResponsibilitiesAdministration

- Prepare tenancy agreements, addendums, renewals, notices, and other property management documentation
- Coordinate administrative requirements for move-ins and move-outs
- Prepare and maintain Form K and strata-related documentation
- Maintain accurate landlord, tenant, property, lease, and payment records
- Maintain organized digital property files and documentation
- Update internal databases and property management systems
- Assist with security deposit documentation and processing
- Support PAD, rent, invoice, and accounting administration
- Collect missing documents and information from landlords, tenants, strata, and team members
- Ensure documentation is properly filed and easy for the team to retrieve

Operations

- Monitor open tasks, tickets, deadlines, and outstanding matters
- Coordinate administrative workflows from start to completion
- Follow up on outstanding items without requiring repeated reminders
- Identify missing information and determine the appropriate next step
- Coordinate handoffs between team members
- Maintain checklists, workflows, and SOPs
- Identify approaching deadlines and escalate concerns early
- Document decisions, actions, and communications in our helpdesk system
- Provide clear progress updates when matters cannot be completed within the expected timeframe
- Help identify recurring operational problems and recommend process improvements
- Make sure assigned matters are properly followed through and closed

Client Care

- Communicate professionally with landlords, tenants, strata managers, vendors, and other stakeholders
- Respond to routine client inquiries in a timely manner
- Provide clear status updates and next steps




- Follow up proactively rather than waiting for clients to ask again
- Explain property management processes in a clear and helpful manner
- Manage expectations regarding timelines and outstanding items
- Recognize when a client concern requires escalation
- Help resolve routine service issues while maintaining a positive client experience
- Follow up after matters are resolved to ensure the communication loop is closed
- Maintain professional documentation of client communications

Qualifications

- Previous experience in administration, operations, customer service, property management, real estate, strata, legal administration, or a similar role
- Strong organizational and time-management skills
- Excellent written and verbal communication
- Strong attention to detail
- Comfortable handling multiple files and deadlines simultaneously
- Strong computer and technology skills
- Comfortable learning recent software and systems
- Ability to work independently while being part of a team-oriented team
- Ability to follow established SOPs and processes
- Ability to identify missing information and ask appropriate questions
- Strong follow-through and accountability
- Professional and service-oriented when communicating with clients

Property management experience is an asset, but the right attitude, organization, communication skills, and ability to learn are equally important.

Technology

Our business uses multiple technology platforms. Candidates should be comfortable working in a technology-driven environment.

Systems may include:

- Google Workspace




- Helpdesk/ticketing systems
- Property management databases
- Electronic document management
- Digital signature platforms
- Accounting and payment systems
- Property inspection and tenant-screening platforms

Experience with specific systems is helpful but not required. Training will be provided.
