Position Summary

The Candle Workshop & Events Coordinator is responsible for creating memorable, engaging and well-organized Serendipity candle-making experiences. This part-time role coordinates and hosts in-store candle-making workshops, private groups and special events while supporting the broader retail customer experience and helping grow workshops and events as an important part of the Serendipity brand.

Key Responsibilities

Coordinate, prepare and host Serendipity candle-making workshops for individuals, private groups, celebrations, corporate groups and community events.

Create a warm, energetic and welcoming environment while confidently guiding guests through the candle-making experience from introduction through completion.

Explain candle-making steps, fragrance selection, materials and workshop procedures clearly while following Serendipity's established production and safety standards.

Prepare workshop spaces before each event, including vessels, fragrance options, supplies, tools, signage, guest materials and required equipment.

Complete post-workshop cleanup, reset and organization so the space and supplies are ready for the next event.

Coordinate workshop bookings and communicate with guests regarding group size, timing, event expectations, special requests and other required details.

Maintain an organized workshop and events calendar and communicate upcoming requirements to retail, production and leadership teams.

Support private-event planning, including birthdays, bridal events, team-building experiences, community groups and other special occasions.

Help identify opportunities to grow workshop attendance, private bookings, corporate events and repeat business.

Support promotion of workshops and events through in-store conversations, community relationships and approved social/digital content in collaboration with leadership.

Track workshop attendance, bookings,



customer feedback and recurring requests and provide useful observations to management.

Monitor workshop supplies and communicate inventory or replenishment needs before they affect scheduled events.

Support retail sales before and after workshops by introducing guests to Serendipity products, scents, gifting options and other relevant offerings.

Assist the Downtown retail team with customer experience, merchandising, store presentation and sales when workshop/event responsibilities permit.

Represent Serendipity professionally at off-site markets, community events, pop-ups, trade shows or other approved events as required.

Follow all Serendipity policies, health and safety procedures, cash/POS procedures where applicable, and customer-service standards.

Workshop & Guest Experience Standards

Welcome guests personally and make the experience feel organized, relaxed, creative and inclusive.

Provide clear instruction without making the workshop feel overly technical or rushed.

Encourage fragrance discovery and creativity while helping guests make confident choices.

Maintain awareness of timing so workshops flow smoothly and scheduled events begin and end appropriately.

Handle questions, concerns and special circumstances professionally and escalate issues when necessary.

Look for opportunities to turn workshop guests into repeat Serendipity customers and advocates.

Qualifications & Attributes

Outgoing, engaging and comfortable speaking to and leading groups of different sizes.

Strong customer-service and interpersonal skills with the ability to create genuine connections.





Highly organized and dependable with solid attention to detail and follow-through.

Comfortable coordinating multiple bookings, event details, supplies and changing priorities.

Confident learning and demonstrating Serendipity's candle-making process and product knowledge.

Creative, positive and solution-oriented, with an appreciation for experiential retail and events.

Previous experience in events, hospitality, retail, workshops, customer experience, teaching/facilitation or community programming is an asset.

Comfort with basic digital tools, email, calendars, booking systems and point-of-sale systems is an asset.

Schedule & Availability

This is a part-time position with hours driven primarily by scheduled workshops, private bookings, events and business needs. Availability for evenings and weekends will be important, as these are expected to be key workshop and event periods. Hours may vary from week to week based on bookings, seasonality and Serendipity's event calendar.

Physical & Workplace Requirements

The position involves standing for extended periods, preparing and resetting workshop areas, repetitive hand and arm movements, bending and reaching, and lifting/carrying workshop supplies, boxes and equipment. The role may involve working around hot wax, fragrance oils, glass vessels and candle-making equipment. Required safety procedures and appropriate footwear must be followed. Success will be measured by the quality of the guest experience, smooth and safe workshop execution, strong organization and communication, positive customer feedback, repeat and referral bookings, responsible management of workshop supplies, and contribution to growing Serendipity's workshops and events business.

Pay: From $22.00 per hour
