Job Summary
We are seeking a dynamic and proactive Property Management Officer to oversee the daily operations of property portfolios, ensuring optimal maintenance, tenant relations, and administrative efficiency. This role is vital in maintaining property value, fostering positive tenant experiences, and streamlining management processes through effective communication and organization. Responsibilities
- Manage property operations by coordinating maintenance, repairs, and inspections to ensure properties are well-maintained and compliant with safety standards.
- Serve as the primary point of contact for tenants, addressing inquiries, resolving issues promptly, and maintaining excellent customer relationships.
- Utilize property management software such as Yardi to track rent payments, lease agreements, maintenance requests, and financial records accurately.
- Conduct regular property inspections and document findings using data entry skills; prepare detailed reports for management review.
- Handle administrative tasks including filing documents, managing correspondence, and maintaining accurate records of leases, payments, and service requests.
- Negotiate lease terms with prospective tenants and renewals with existing tenants to maximize occupancy rates while ensuring mutual satisfaction.
- Collaborate with vendors and contractors to coordinate repairs and upgrades efficiently while adhering to budget constraints.
- Uphold professional phone etiquette when communicating with tenants, vendors, and team members to foster positive relationships.
Skills
- Proficiency in Yardi or similar property management software for data entry and record keeping.
- Robust office experience combined with excellent administrative skills including filing and document management.
- Prior experience in property management or related fields such as sales or customer service.
- Effective negotiation skills to secure favorable lease agreements and resolve disputes amicably.
- Exceptional customer relationship management abilities to ensure tenant satisfaction and retention.
- Familiarity with CMMS (Computerized Maintenance Management System) tools for scheduling maintenance tasks.
- Excellent phone etiquette paired with clear communication skills for professional interactions with clients and vendors.
