Are you passionate about creating memorable experiences and managing projects from concept to execution? We are looking for a highly organized, proactive, and client-focused Event Coordinator to join our team.
In this role, you will play a key part in the planning, coordination, and delivery of large-scale corporate events. Working closely with internal teams, clients, exhibitors, speakers, and external partners, you will help create engaging and seamless event experiences that exceed expectations.
This position offers an exciting opportunity to contribute to high-profile events while developing strong relationships with stakeholders and vendors. What you will accomplish with us:
Project Management & Event Planning
- Support the planning and execution of corporate events from start to finish.
- Develop and manage project timelines, budgets, and production schedules.
- Monitor project progress and ensure all milestones are achieved on time and within budget.
- Identify potential risks and implement solutions to ensure successful event delivery.
Event Administration
- Prepare and maintain event-related documentation, including participant guides, schedules, reports, and communications.
- Coordinate administrative processes and ensure accurate record keeping.
- Assist with event communications before,
during, and after events.
Logistics & Operations
- Coordinate all logistical aspects of events, including venue requirements, registration services, accommodations, transportation, catering, and technical services.
- Collaborate with suppliers and service providers to ensure seamless event operations.
- Support on-site event execution and ensure all operational requirements are met.
Vendor & Supplier Management
- Participate in the selection and evaluation of vendors and event partners.
- Negotiate pricing and service agreements to maximize value and quality.
- Monitor supplier performance and ensure compliance with contractual commitments.
Registration & Stakeholder Coordination
- Oversee participant and exhibitor registration processes.
- Ensure a positive experience for attendees, exhibitors, sponsors, and speakers.
- Respond to inquiries and provide exceptional customer service throughout the event lifecycle.
On-Site Event Execution
- Coordinate event setup, event-day operations, and dismantling activities.
- Troubleshoot issues quickly and effectively while maintaining a positive attendee experience.
- Serve as a key point of contact for stakeholders during live events.
Collaboration & Communication
- Foster strong working relationships with clients, internal teams, and external partners.
- Maintain clear and consistent communication with all stakeholders.
- Contribute ideas and recommendations to enhance event quality and attendee engagement.
What You Bring to Our Team:
Qualifications & Experience
- Diploma or degree in Event Management, Communications, Marketing, Public Relations, or a related field.
- 2 to 5 years of experience in event coordination, event management, or a similar role.
- Experience supporting corporate events, conferences, trade shows, or large-scale gatherings is considered an asset.
Skills & Competencies
- Exceptional organizational and time-management skills with the ability to manage multiple priorities simultaneously.
- Strong problem-solving abilities and a proactive approach to finding solutions.
- Excellent interpersonal and communication skills.
- Demonstrated customer service excellence and relationship-building capabilities.
- Ability to work independently while contributing effectively within a collaborative team workplace.
- Strong attention to detail and ability to perform well under pressure in fast-paced environments.
- Proficiency with Microsoft Office Suite.
- Experience with event registration and event management platforms is an asset.
- Fully bilingual in French and English, both spoken and written.
- Availability to travel and work flexible hours based on event schedules and operational requirements.

Compensation Information:
Base Salary: $75,000 - $85,000 annually
Supplemental Pay Types Include: Annual bonus
The final salary will be determined based on the candidate’s skills and experience, in compliance with applicable regulations.
