FOOD INDUSTRY COMPANY LOOKING FOR AN COMMERCIAL/ OFFICE COORDINATOR

Chef Brandz is seeking a highly organized, proactive, and detail-oriented Commercial / Office Coordinator to support our Commercial team in a fast-paced B2B food production environment.

This role serves as a central coordination point between Commercial, R&D;, QA, Production, Procurement, Finance, Logistics, and Operations, ensuring customer requests, samples, documentation, and commercialization activities are organized, tracked, and executed efficiently from initial request through to launch.

The role also provides front office and administrative support, acting as the first point of contact for visitors and customers while helping coordinate meetings, couriers, deliveries, office supplies, and general office activities.

The ideal candidate is a dynamic and highly organized multitasker who is comfortable working in a fast-paced, high-pressure environment. They will have strong communication and follow-up skills, a high level of attention to detail, and the ability to anticipate next steps and independently move tasks forward.

Main Duties and Responsibilities:

Commercial Coordination

· Coordinate and track customer sample requests from initiation through dispatch

· Ensure all required documentation (costing, specifications, labels, approvals) is completed prior to sample release

· Maintain and update commercial tracking logs for samples, launches, and customer requests

· Coordinate across Commercial, R&D;, QA, Logistics, and Production teams to ensure alignment and timely execution

· Follow up internally to ensure deadlines and commitments are met

· Assist with preparation of customer presentations, meetings, and product reviews

· Coordinate courier shipments, sample deliveries, and incoming product samples

· Track shipments and ensure proper distribution to internal departments

· Support organization of inbound and outbound sample flow across teams

Customer Communication Support

· Support communication with customers regarding sample timelines, project updates, and documentation requirements

· Assist in gathering information related to volumes, timelines, and sample requests

· Ensure timely responses and coordination between internal teams and customers





Front Desk & Office Coordination

· Act as the first point of contact at reception, greeting visitors and answering incoming calls

· Welcome and assist visitors in a professional and friendly manner

· Answer and direct incoming phone calls and general inquiries.

· Coordinate meeting room bookings, customer visits, meetings, and office activities.

· Manage meeting room and boardroom setup, including materials, samples, refreshments, and hospitality requirements.

· Coordinate incoming deliveries, couriers, and general office shipments.

· Manage office supplies and coordinate replenishment as required.

· Help maintain a clean, organized, professional, and welcoming office environment.

· Support general office administration and day-to-day operational needs.

Administrative & Systems Support

· Assist with purchase order processing and invoice tracking.

· Support commercial documentation and internal recordkeeping.

· Maintain accurate and up-to-date commercial and administrative trackers.

· Assist with product setup, item codes, and system updates as directed.

· Support internal documentation related to commercialization and customer activities.

· Assist with organizing and maintaining shared files, records, and project documentation.

· Identify gaps or outstanding information and proactively follow up with the appropriate team.

Qualifications

Work Experience:

· 2+ years of experience in an office coordination, administrative, commercial support, customer service, or similar role.

· Experience in food manufacturing, CPG, or a fast-paced production environment is considered an asset.

· Strong organizational, multitasking, and time-management skills.

· Excellent written and verbal communication skills.

· High attention to detail with strong accuracy and follow-through.

· Ability to manage multiple priorities, deadlines, and changing requirements in a fast-paced environment.

· Proficiency with Microsoft Office, particularly Excel, Outlook, Word, and PowerPoint.

· Experience with QuickBooks is an asset.





· Valid driver's license and access to a vehicle is required.

· Comfortable travelling throughout Toronto and the GTA as required.

· French language skills are considered an asset.

· Flexible and willing to work outside standard hours when business requirements dictate.

Job Types: Permanent, Full-time

Pay: $65,000.00-$68,000.00 per year
