Office Manager / Senior Office Administrator – CPA Firm
Full-Time | Professional CPA Firm
We are a growing CPA firm serving clients primarily in the construction, real estate, development, and mortgage industries. We are looking for a highly organized, confident, and proactive Office Manager / Senior Office Administrator to work directly with the owner and help keep the entire office moving.
This is not a traditional receptionist or basic administrative position.
We need someone who takes ownership, follows up, keeps track of deadlines, coordinates staff, and makes sure things actually get done.
What You’ll Do
- Work directly with the owner to manage priorities, deadlines, client matters, and day-to-day office operations.
- Coordinate work among staff and follow up until assigned tasks are completed.
- Keep track of outstanding work, client requests, documents, deadlines, and follow-ups.
- Communicate professionally with clients by phone, email, and in person.
- Follow up with clients for documents, information, signatures, payments, and other outstanding items.
- Coordinate appointments, meetings, calendars, correspondence, and client files.
- Help manage the flow of accounting, tax, bookkeeping, corporate, and other client work through the office.
- Identify urgent or overdue matters and bring them to the owner's attention.
- Communicate with accountants, banks, mortgage brokers, lawyers, realtors, developers, contractors, and other professionals.
- Help improve office systems, workflow, organization, and staff accountability.
- Handle multiple priorities in a fast-paced professional workplace.
Who We’re Looking For
Excellent communication skills are non-negotiable.
You should be:
- Fluent in English,
with excellent verbal and written communication skills.
- Confident and professional speaking with clients both over the phone and in person.
- A genuine self-starter who does not need to be constantly reminded what needs to be done.
- Highly organized and comfortable multitasking.
- Comfortable following up with staff and holding people accountable for deadlines.
- Someone who takes ownership of a task and follows it through to completion.
- Able to prioritize and make reasonable decisions independently.
- Detail-oriented, dependable, professional, and discreet.
- Comfortable with Outlook, Word, Excel, PDFs, email, and cloud-based office systems.
Preferred Experience
Previous experience in a CPA/accounting firm, law firm, mortgage company, bank, construction company, real estate office, or other professional services environment would be an asset.
Accounting experience is helpful but not mandatory. We are more interested in finding someone with the right attitude, communication skills, organization, initiative, and ability to get things done.

Pay: $20.00-$30.00 per hour
