Job Duties

Under the direction of the Retail Services Coordinator, the Assistant Coordinator provides professional, operational, and customer-focused services in support of Saskatchewan Polytechnic retail services. The position functions within the retail services portfolio to serve a diverse clientele that includes students, employees, academic leadership, partner institutions, vendors, government authorities, and the general public.

The Assistant Coordinator exercises objective judgment in purchasing, inventory, data integrity, and service delivery decisions that directly impact Saskatchewan Polytechnic financially and operationally.

Retail

Services represents a significant revenue generating operation, and decisions related to merchandise selection, procurement methods, system accuracy, and inventory control impact student access to required materials and the overall student experience.

The role requires advanced organizational, communication, and technical capabilities to manage competing priorities in an open workplace with frequent interruptions.

Qualifications, Skills, Abilities And Experience

Specific Accountabilities

Provides professional customer service to Saskatchewan Polytechnic students and employees, Deans, academic programs, partner institutions, regional colleges, universities, high schools, funding agencies, vendors, and members of the public.

- Works collaboratively with academic programs, departments and other partners to understand course materials and merchandise needs in order to guide purchasing decisions that deliver best value and meet determined deadlines.
- Diffuses and resolves customer service situations related to transactions; escalates unresolved issues to the Retail Services Coordinator, as required.
- Encourages teamwork and reinforces the value of individual contributions in achieving Retail Services objectives. Fosters an environment of collaboration and communication among the teams.
- Purchases textbooks, supplies, printed materials, general merchandise, giftware, and imprinted or branded merchandise and clothing.
- Applies current knowledge of procurement practices, including purchasing, inventory control, and logistics.
- Demonstrates specialized knowledge of the textbook and course materials industry, general merchandise, giftware, and corporate and collegiate clothing markets.
- Processes and signs purchase orders, including purchases exceeding $100,000, ensuring cost effectiveness and delivery of best value.
- Ensures continuous inventory control and supports all major operational functions of the Campus Store.
- Processes and fulfills online orders, ensuring accuracy, completeness, and timely delivery or pickup.
- Assists with sales events, merchandising initiatives, and promotion of product lines.
- Works directly with more than 100 external vendors to manage sourcing and availability of products.
- Reconciles and reports monthly on Saskatchewan Polytechnic procurement cards and related systems.
- Adheres to financial principles to ensure the accuracy and completion of financial and operational documentation, including invoices, credits, and packing slips.
- Enforces Saskatchewan Polytechnic Campus Store policies and procedures in the absence of the Coordinator.




- Under the direction of the Coordinator, sets up parameters, maintenance, troubleshoots and solves technical problems with WinPrism, WinAdmin, PrismWeb and Point of Sale admin site.
- Under the direction of the Coordinator, coaches, trains and monitors staff on systems, processes, procedures and operations.
- Follows cash control procedures to ensure all daily cash-handling is accurately completed. This includes till and float balancing, daily deposit preparation and overage and shortage reporting.
- Handles, lifts, and documents incoming and outgoing boxes and other materials. Support ongoing and annual inventory control.
- Ensures documentation, support procedures and reporting are current and accessible to team members.
- In the spirit of continuous improvement, identifies, evaluates and proposes unique ways, such as product changes, policy and procedure updates, resource use, cost reductions, to improve retail services operations.
- Supports all areas of retail services.

Duties Required Qualifications, Skills and Abilities (QSA)
- Post-secondary certificate in business or equivalent combination of education, training and experience.
- Three (3) years of experience and training in retail operations, procurement, and inventory management within a customer-focused environment.
- Demonstrated knowledge of current procurement principles and processes, including purchasing, inventory control, return processing, shipping, transportation and logistics.
- Demonstrated experience of database systems and specialized retail software systems and application
- Proficiency in word processing and spreadsheet applications to support purchasing analysis, reconciliation, reporting, and documentation.
- Ability to effectively transition between multiple software systems to efficiently complete transactions and administrative tasks.
- Experience operating a wide range of office and retail equipment
- Ability to maintain accuracy while working under constant and strict deadlines.
- Ability to lead, take initiative, motivate, coach, train and coordinate staff.
- Demonstrates valuing diversity.
