As a Dealer Parts Specialist, you will be a key point of contact for Southland’s dealer network. You will manage day-to-day parts requests, prepare accurate quotes and orders, coordinate warranty and stocked or manufactured parts, and keep dealers informed from the first request through delivery.
This role is a strong fit for someone who enjoys building customer relationships, solving problems, staying organized, and working across departments to deliver quality service while supporting profitable growth. What You’ll Do Own communication and follow-up for assigned dealer accounts, including quotes, parts identification, order updates, backorders, warranty requirements, and issue resolution. Respond to dealer requests clearly and promptly.
Create accurate quotes and sales orders, confirming part numbers, quantities, pricing, inventory, shipping information, and customer requirements before release. Prepare proforma invoices, picklists, packing slips, final invoices, and cross-border shipping documentation, including accurate HS codes when required. Complete final dealer invoicing within one hour of receiving completed shipping paperwork.
Monitor open orders and backorders, communicate delays early, and coordinate with internal teams to support committed delivery dates. Coordinate stocked and manufactured part requirements, including Work Order release and follow-up with Scheduling, Purchasing, Production, Paint, Warehouse, Shipping, and Logistics. Keep dealer contact cards and the dealer network spreadsheet accurate and current.
Identify additional parts opportunities and promote relevant products to help the Dealer Parts team achieve its annual sales growth target. Use cost, quality, delivery, sales, margin, backlog,
and warranty information to support better daily decisions and continuous improvement.
What You Bring
Experience in parts, customer service, inside sales, order processing, warranty administration, or a related role is an asset. Strong written and verbal communication skills, with a professional and customer-focused approach. Excellent organization and priority-management skills in a fast-moving environment.
Strong attention to detail when working with pricing, part numbers, orders, invoices, and shipping documentation. Confidence using ERP systems, Microsoft Office, spreadsheets, and other business software. The ability to investigate problems, coordinate across departments, and know when to escalate.
Knowledge of trailer parts, shipping and logistics, cross-border documentation, or HS codes is an asset; training will be provided where needed.
