Inc. is an Indigenous-owned event services and creative production company based in Thunder Bay, Ontario, with offices at 610 Simpson Street and on Fort William First Nation. We produce a wide range of events across multiple sectors, including corporate events, tradeshows, multi-day regional conferences, and large-scale Indigenous community gatherings and cultural events. Indigenous community work forms a significant portion of our portfolio.

The Finance Operations

Associate builds and maintains the financial picture of our projects and events, tracks inventory and work in progress, and prepares the settlements owed under our venue and partner agreements. Where our Bookkeeper is accountable for the accounting record being right, this role is accountable for what the numbers in it mean for a file or an agreement. Analysis is the defining feature of this role.

You can require receipts, supporting documentation, time records and account coding from anyone in the company, and you can hold a transaction until it is complete. The work sits inside a finance function that is still being built, in a company that is growing quickly. You will work closely with our Director of Finance, who works remotely, through a set weekly rhythm and clear approval paths.

Our work supports events with and for Indigenous communities, Survivors, and the wider range of partners and clients we serve.

Project and Event Budgets: Build working budgets for assigned projects and events from approved quotes, contracts, and scope changes. Identify material variances, explain the cause in writing, and report the position to the responsible department manager. Maintain claim expense and recovery schedules, and reconcile insurance and other recoveries to the expenses they offset.

Flag accounts or coding that create reporting problems. Prepare settlement statements under venue and partner agreements, applying the contracted rates, inclusions, and exclusions. Calculate commissions, facilitation and referral amounts, and allocate split commissions across the correct parties.

Track performance against any minimum, guarantee or threshold an agreement carries, and report the position on the agreed cycle. Inventory, Work in Progress and Capital Support: Maintain inventory and work in progress listings from the quantities the operational teams provide, and prepare valuations from approved costing information for review.



Coordinate the operational detail and documentation behind asset additions, disposals and leases, and hand it to our Bookkeeper to record.

Support the reconciliation of those records to the general ledger. The fixed asset register itself is maintained by our Bookkeeper. Prepare project, event, capital and inventory schedules for the fiscal year-end.

Prepare continuity schedules for prepaid expenses, deposits and capital assets.

Plain Explanation: The ability to explain a variance in writing, in terms a department manager who is not an accountant can act on.

Contract Literacy: The ability to read a commercial agreement and apply its rates, inclusions and exclusions accurately to a settlement that someone will check. Continuity schedules, reconciliation layouts, and working papers a reviewer can follow without asking you what you did. Ingaged is growing and its finance systems are still being built.

Working Competence With Accounting Software: Ingaged uses QuickBooks Online, and we provide training on our own systems and conventions. Enough to prepare reporting a remote reviewer can act on without a phone call.

Comfort Working in a Multicultural Team: Including colleagues for whom English is a second language. Two or more years of experience in project accounting, cost accounting, financial analysis, bookkeeping, or a related finance function. A postsecondary diploma, advanced diploma, or degree in accounting, finance, commerce, business, or a related field, or a demonstrated track record of equivalent professional experience.

Considered an Asset Experience with inventory or work in progress valuation in a project-based business Experience in a project-based or event-driven business Familiarity with Indigenous community contexts, organizations, and programming Valid Class G or Class G2 Ontario Driver's Licence and personal automobile insurance. Local errands within Thunder Bay, including bank deposits and cheque pickups, are a regular part of this role. Overnight travel is not required.

Where neither licence class is yet held, we will discuss a plan to obtain one and interim arrangements for the errand portion of the work. Ability to work at a desk and at a computer for extended periods. The willingness and ability to work in an open-office, collaborative environment, which includes a resident office dog.

A conditional offer for this role is subject to a credit check and a criminal record and judicial matters check,



appropriate to a role that handles money and sensitive financial information. Comprehensive health, dental, and vision perks begin upon successful probation completion. Overtime is compensated in accordance with the Ontario Employment Standards Act, 2000.

Where elected by the employee, paid time off in lieu of overtime pay is available at one and a half hours for every hour of overtime worked, under a separate written agreement. Work performed on a public holiday is compensated in accordance with the Ontario Employment Standards Act, 2000.

Starting Rate: $27.00 to $31.00 per hour, based on demonstrable project accounting, analysis, and finance operations experience.

Hours: Up to 40 hours per week, Monday to Friday, 8:30 AM to 5:00 PM. Month-end, settlement cycles, event periods, and the company's year-end require extended hours. Comprehensive health, dental, and vision coverage following successful probation completion.

Vacation: Two weeks per year, increasing to three weeks after five years of continuous service in accordance with the Ontario Employment Standards Act, 2000. Vacation pay is calculated and disbursed in accordance with the ESA.

Time in Lieu: Where you elect it, paid time off in lieu of overtime pay is available at one and a half hours for every hour of overtime worked, under a separate written agreement. Training, certification, and workshop opportunities are supported where aligned with role growth and department needs. Full availability is required during these months, with exceptions and accommodations considered in advance.

Travel: This role does not require overnight travel. Local errands within Thunder Bay are a regular part of the work. It begins with project, event and capital records and partner settlements. As you establish yourself, it grows toward more complex agreements, larger files, a review role in our month-end close, and the analysis and reporting work our finance function needs as it matures.
