Institute of Skilled Trades Administrative Temporary Health Insurance Dental Insurance Retirement Plans Pension plan Life Insurance Disability Insurance Employee Assistance Program Administrative Assistant (OA13) Term Full-time Position: As part of the Kingstec Campus, the Administrative Assistant will report to the Academic Chair - Institute of Skilled Trades and will provide confidential, day-to-day administrative and organizational support to the Academic Chair.

The Administrative

Assistant will provide a full range of administrative support services.

Your responsibilities will include managing the day-to-day administrative and supportive functions, activities, and programs of the departments. This entails logistical planning for meetings, program scheduling, calendar management, record keeping, file management, project management support, managing and organizing data, fielding queries to the Institute of Skilled Trades in relation to programs, greeting students/industry/general public and booking appointments with the Academic Chair. You will also provide administrative support to departmental staff, coordinate special events, coordinate budget workflow, liaise with internal and external communities, facilitate course feedback with learners, as well as other related administrative duties as required.

The minimal educational qualifications for this position is a post-secondary certificate or diploma in Business or Administrative Professional/Office Administration. High school completion with significant years (10+) of administrative experience will also be considered. You have a minimum of three years (full-time equivalent)



of recent and related occupational experience in a fast-paced office environment.

You have occupational experience that includes using Excel to collect and analyze data. You are familiar with and comfortable using computer applications such as the Microsoft Office Suite, including Excel, e-mail and SharePoint. Knowledge of PeopleSoft and Learning Management Systems such as Brightspace would be considered an asset.

You are comfortable working in a digital environment; Occupational experience supporting/providing service to students and prospective students in a post-secondary educational workplace would be considered an asset.

Experience supporting/coordinating the work functions of a large and complex department would be considered an asset. You demonstrate a commitment to equity, diversity, inclusion, accessibility, and anti-racism. You have a working knowledge and appreciation for the priority of safety in applied education programming and the workplace.

You are known for your superior customer service skills and can create a relationship of trust beyond the immediate interaction. You have specific technical occupational knowledge and skill in tracking, creating reports, manipulating data, setting up and overseeing shared files using OneDrive and SharePoint.



You possess excellent coordination skills specifically related to organizing the flow of information, workload planning, event planning and logistics.

You have proven record and information management skills and abilities specifically related to record management and maintaining confidentiality. You have strong project management skills. You are dedicated to life-long learningYou show a strong commitment to community involvement.
