Our client is a family-owned real estate holding company that owns and manages commercial properties from Toronto to Vancouver and Los Angeles. These properties are mostly fully leased shopping centers. The successful applicant will oversee the day-to-day operations of the properties by supervising each property manager and overseeing other property related tasks as needed.
Job Purpose:
The Manager, Commercial Property Administration oversees leasing and management of a portfolio of properties, which all have 3rd party property managers. The position also approves annual budgets and reviews of financial statements prepared by the various property managers (“PM”).
The Manager, Commercial Property Administration is also responsible for leasing activity, mortgage renewals and recent financings and implementing value added activities in an effort to improve the overall performance of the properties. The position will report to the Managing Partners of the company.
There will be a probationary period of 90 days.
Primary Accountabilities:
Property Management:
- Oversees the Property Managers to ensure proper maintenance and operation of the properties
- Approves annual financial budgets
- Review monthly financials
- Insurance
- Emergency services
- Mortgage renewals
- Invoice payments
Leasing:
- Lease negotiation in conjunction with the Managing Partners
- Review and approval of all lease applicants
- Detailed review of all new leases and renewals
- Approve 3rd party leasing agents
- Marketing materials
- Tenant satisfaction
Tenant Improvements:
- Construction budgets
- Pro forma profit projections
Other Tasks:
- Inspect properties as needed (involves some travel paid for by the company)
- Approve maintenance contracts before PM signs
- Property Management contracts
- Lease and Lease Amending documents
- Assist with sale of non-core assets
Analysis:
- Overall performance of the property vs market and prior periods
- Leasing activity
- Lease rates
- Monthly reporting
Qualifications and Experience:
- Degree or Diploma from an accredited post-secondary institution
- Minimum of 3- 5 years of related work experience
Knowledge, Skills & Abilities:
- Superior interpersonal and customer service skills.
- Able to communicate clearly and concisely, both verbally and in writing.
- Excellent organizational skills and the ability to manage deadlines, while handling multiple demands and priority levels.
- Ability to maintain confidentiality and act with discretion.
- Detail orientated.
- Computer skills; proficiency with Microsoft Outlook, MS Word and Excel.
